The Role
The Legal Assistant will directly support two Executives in the Office of the General Counsel and should be proactive and detail oriented. This role manages the overall office for highly busy, in-house attorneys and must be comfortable working with individuals in a variety of roles both within and outside of the Agency. A minimum one-year commitment is required.
Responsibilities
- Handle high-volume scheduling and rolling calls for two top-level executives
- Be proficient in Microsoft Office, particularly Outlook, Word, Excel, and Adobe Acrobat Professional
- Prepare daily To Do Lists for executives in addition to managing follow-up file and determining which items can be handled directly by the assistant on the executive’s behalf
- Draft, redline and edit highly confidential documents, including contracts and legal letters
- Research, draft, and distribute legal hold notices, manage the recordkeeping of current holds and custodians, and release holds with multiple departments when applicable
- Liaise with Tech for equipment preservation and O365 account preservation
- Track litigation matters monthly and summarize litigation matters quarterly in coordination with in house counsel
- Manage incoming bankruptcy documents and correspondence, liaising with Accounting and outside counsel
- Maintain litigation calendar of deadlines, court dates, and upcoming events, including the planning and scheduling of depositions
- Filing of documents and correspondence
- Organize and update hard copy and digital files, ensuring all relevant documents are within reach
- Utilize digital signing software (example: Adobe Sign) and handle mailing of documents
- Assist with litigation research and factual analysis as needed
- Work cooperatively with outside counsel
- Understand the workflow relationships both of the Office of the Chief Legal Officer and of the Agency at large
- Assist other members of the department when needed
Qualifications
- BA preferred
- Strong interest in litigation
- High level of proficiency in Microsoft Excel
- At least one year of administrative experience is required
- Familiarity with basic concepts, such as corporate law and litigation
- Proactive, meticulously organized, and extremely detail oriented
- Ability to thrive in a fast-paced, dynamic working environment
Location
This role is hybrid, based out of the Los Angeles office.
Compensation: The base hourly rate for this position is in the range of $22.00 - $28.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
