    Job Description

    The Front Desk Receptionist is responsible for ensuring a welcoming, efficient, and well-maintained office environment. This role combines front desk duties with comprehensive building operations management, including maintenance coordination, meeting space oversight, and administrative support. The ideal candidate is a proactive, detail-oriented professional who excels in multitasking and creating a positive first impression for all employees and visitors.

    Key Responsibilities:

    • Front Desk & Office Presentation:

      • Greet and welcome all visitors to the AHF Office, creating a positive first impression.

      • Open the office each day by turning on lights, adjusting temperature controls, raising shades, setting music, and conducting a quick inspection.

      • Close shades as temperatures rise or upon exiting the office.

    • Building Operations & Maintenance:

      • Oversee building operations to ensure that HVAC, plumbing, and access systems are functioning at all times.

      • Report required repairs immediately, follow up for timely completion, and communicate repair statuses to employees.

      • Coordinate preventative maintenance for HVAC, elevator, hot water heaters, and other critical equipment to optimize performance and extend their lifespan.

      • Ensure that cleaning schedules are maintained and that necessary supplies, sanitizers, and products are stocked.

      • Keep the parking lot and exterior areas clear of weeds and promptly remedy any trip hazards.

      • Post and maintain required “no trespassing” or “no parking” signs in appropriate areas.

      • Contract and manage dumpster services for regular pick-ups, cleaning, and maintenance.

      • Maintain indoor office plants to ensure they are healthy and visually appealing.

    • Meeting & Common Area Coordination:

      • Manage the scheduling and overall appearance of all board and conference rooms.

      • Ensure that restrooms (six), the gym, and other common areas or corridors are consistently clean and well-maintained.

      • Maintain a stocked kitchen with snacks, coffee, and beverages for employees and visitors; manage the board room and game room refrigerators accordingly.

      • Develop and oversee environmental initiatives, including recycling programs, water-saving measures, and thermostat control.

    • Employee & Visitor Engagement:

      • Create and sustain a friendly, welcoming, and comfortable environment for everyone in the office.

      • Schedule and host monthly birthday celebrations, Culture Club activities at the Iberia Office, and other special events as needed.

    • Administrative & Executive Support:

      • Manage incoming and outgoing mail and shipping operations.

    • Additional Duties:

      • Arrange travel and lodging for teammates visiting the Iberia Office.

    Qualifications

    • Proven experience in front desk operations, facilities management, or office administration.

    • Exceptional organizational skills with a keen attention to detail.

    • Ability to multitask effectively in a fast-paced environment and manage diverse responsibilities.

    • Excellent written and verbal communication skills.

    • Proficient in Microsoft Office Suite and Google Workspace.

    • Self-motivated, with the ability to work independently and as part of a team.

    • A friendly, professional demeanor committed to delivering exceptional customer service.

    • Familiarity with building maintenance and scheduling processes is a plus.
