Position Summary

The Administrative Assistant provides administrative support to the members of the Property Tax team by planning and accomplishing the necessary administrative functions. Responsible for the administrative support, updating, and processing reports, expense reconciliations, scheduling meetings, coordinating travel, and supporting leadership in performing assessment reviews.

 

Essential Duties and Responsibilities
  • Prepare and manage documents, including formatting and editing letters, reports, spreadsheets, and all necessary documents from information provided
  • Collects and organizes client data, updates and maintains organized client files, and generates client reports
  • Communicate with assessors and tax collectors regarding assessment notices, valuations, tax bills, refunds, and appeal deadlines
  • Calculate and process reductions obtained and perform follow-up billing
  • Schedule and organize meetings and prepare meeting materials
  • Provide account history reports, maintain files, and databases
  • Create and update management reports on a regular basis
  • Provide administrative support to team members including but not limited to coordinate and maintain meeting rooms, maintain postage machine, update office signage, and manage employee lounge
  • Assist with travel arrangements and prepare expense reports
  • Maintain and order office supplies, research vendors, and manage or update contracts with vendors
  • Assist with new hire onboarding

 

Non-Essential Duties and Responsibilities
  • Provide support for processing billings as needed
  • Perform other duties as assigned

 

Education and Qualifications
  • High school diploma or equivalent required
  • 0-4 years’ administrative experience in a professional business environment required
  • Ability to work independently to complete work assignments with minimal direct supervision
  • Requires a high level of interpersonal skills to handle sensitive and confidential information
  • Strong verbal and written communication skills
  • Intermediate to advanced level knowledge of Word, Excel, Outlook, and PowerPoint
  • Organization skills and ability to multi-task
