This might be the position for you! We are looking to hire a customer service-focused and detail-oriented Commercial Property Administrator to join the growing Commercial team.


The Commercial Property Administrator will be responsible for administrative support to the Commercial Property Managers (CPMs) by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondences and creating and maintaining digital filing systems.



Hourly Rate: $25.00-$27.00/hr

Work Schedule: FT, Monday-Friday, 8:00 AM-4:30 PM

Work Location: 9400 SW Barnes Road, Suite 400, Portland, OR 97225 / 1800 SW First Ave, Suite 220, Portland, OR 97201 

Additional Compensation: A monthly $75.00 cellphone stipend and mileage reimbursement for business-related travels.

What you will do as the Commercial Property Administrator:

  • Provide administrative support to all commercial property managers as requested.
  • Coordinate with vendors for work orders, appraisers, assessors, and government inspectors on property visits, and capital projects for a portfolio of commercial properties
  • Manage all property and liability insurance claims including mitigation and repairs.
  • Partner with clients on pricing, building projects, current and planned activities, and tenant problems, and make recommendations to improve the efficiency and profitability of properties.
  • Oversee contracts (including but not limited to janitorial, day porter, and landscaping), and inspect properties to ensure that the level of service is in line with the specifications and expectations of tenants and owner.
  • Ensure spaces are handed over to tenants as required by their lease, including any tenant improvement work and cleaning/upgrades.
  • Set up monthly billing for utilities and other charges as allowed per lease.
  • Issue delinquency notices as allowed per tenant’s leases; follow up as needed and if necessary, recommend legal action and/or termination of the lease to the owner.
  • Coordinate with the tenant and owner if there is a request to sublease or assign the lease/space.
  • Ensure that all necessary financial information is received to assist the Owner in evaluating the financial strength of the new subtenant.

Requirements

 What you will bring as the Commercial Property Administrator:

  • One (1) year of previous customer service and/or administrative assistant experience.
  • Previous Commercial Property Management experience is a plus.
  • Experience with Entrata, Yardi, and Skyline is highly preferred.
  • High School diploma or equivalent.
  • Must be self-motivated, able to work well both as a member of the team and independently, with confidence and flexibility to adapt to changing circumstances.
  • Quick learner, critical thinker, and driven to meet and exceed the expectations of clients.
  • Excellent computer skills using Microsoft 365 and the ability to rapidly learn other company software programs.
  • Excellent written and verbal communication skills.
  • Basic math skills including addition, subtraction, multiplication, division, and percentages.
  • Ability to work effectively with a wide spectrum of people to build relationships with tact and diplomacy.
  • Ability to analyze moderately complex administrative details such as planning, scheduling, reporting, and displaying data.<
