The Opportunity:
As the Executive Assistant to the Chief People and Technology Officer (CPTO), you’ll be a true partner, anticipating and resolving any issues that arise. With poise, confidence, and professionalism, you’ll act as the CPTO’s representative and liaison with the other C-suite executives and their teams, board members, and the global People Operations team.
Using your exceptional organization and time management skills, along with fastidious attention to detail, you’ll ensure that the CPTO’s schedule runs like clockwork. Additionally, you’ll take charge of general office administration and planning employee engagement activities. You’re a pro at calendar management, coordinating meetings, administrative projects, making travel arrangements and completing expense reports. Under your watchful eye, nothing slips through the cracks.

This is a hybrid role that requires you to work in our San Francisco office two to three days per week. You’ll report to the Chief People and Technology Officer (CPTO), who is based in Philadelphia, PA.

What You’ll Do :
Executive Support & Strategic Administration
Manage CPTO calendar independently and in context of her schedule, goals and preferences
Prepare draft senior-level meeting and project materials for CPTO (e.g., Board talking points, slide decks, performance dashboards)
Independently manage all expenses and US/international travel arrangements for CPTO
Manage select vendor and other external relationships
Provide feedback and continuous improvement ideas to CPTO about team operations and other areas as insights dictate
Work closely with the Office of the CEO and other Executive Assistants for smooth ELT operations
Operations, Procurement & Contract Management
Manage procurement administration and contracts for People and Technology teams
Set up tracking and quality monitoring systems (e.g., leases, policies, talent reviews)
Gather and analyze data on people trends, expenses, contracts, etc. as assigned
Internal Communications & Culture
Communicate monthly to the global Room to Read community about birthdays and service anniversaries
Work on special projects such as recognition awards
