PRIMARY PURPOSE:
The primary responsibility of Administrative Assistant is to provide administrative and clerical support to the Hospitality department to include Hotel Operations and Food & Beverage. All duties are performed following department guest service standards and the company’s policies, practices, and procedures.

PRINICIPAL DUTIES AND RESPONSIBILITIES:
- Greet all visitors and callers and address their needs, answer multi-line phone systems, and direct calls to the appropriate staff/department, and respond to all general e-mail correspondence and voicemail from guests and staff.
- Schedule conference calls and meetings for office staff.
- Coordinate hotel pick-up, shipping, and storage of products; monitor, move, and adjust storage areas as needed according to shipping requirements.
- Keep hotel inventory stocked (keys, valet tickets, bell tickets and other items as needed, ensuring items are easy to find when needed.
- Compile, copy, sort, file, and scan hotel department documents, prepare departmental reports and maintain databases as needed, and perform a variety of administrative tasks.
- Maintain all office equipment as needed and coordinate repairs for hotel department.
- Work closely with the functional department groups as necessary.
- Prepare purchase orders for all goods and services purchased by the Hotel and F&B department.
- Maintain all credit card receipts and statements for hotel.
- Daily timekeeping for all Hotel Operations and Food & Beverage departments including but not limited to attendance tracking.
- Possess knowledge of OPERA and INFOGEN systems.
- Responsible for tracking housekeeping score sheets.
- Support hotel management with supervision of department when needed. Including but not limited to answering company cellphone and assisting with customers inquiries and needs.
- Some duties may require assisting management directly in F&B Venues.
- Log and track employee training, F&B Permits and Licenses.
- Responsible for Menu File Maintenance and Content update for F&B department.
- Assist with F&B promotional materials printing including some electronic media production.
- Create and maintain consolidated F&B Front of House and Back of House calendar, including promotions and events.
- Assist to coordinate F&B Directors’ team meeting, to include maintaining meeting notes.
- Create and maintain F&B online Directory, including Key Service and Vendor contact list.
- Perform other job-related duties as requested.
MINIMUM REQUIREMENTS:
High school diploma or equivalent.
One (1) year of related experience in a related position, or equivalent education and experience.
Work varied shifts, including weekends and holidays.
KNOWLEDGE, SKILLS, AND ABILITIES:
Able to effectively communicate in English, in both written and verbal forms.
Basic knowledge of computer software including Outlook, MS Word, Excel, and PowerPoint as well as office equipment, i.e., telephone, copier, fax machine.
Excellent organizational skills to function effectively under time constraints and within established deadlines, with particular attention to detail.
Excellent customer service skills and interpersonal skills to effectively communicate with all business contacts.
WORKING CONDITIONS:
Work is performed in an office environment.
