Location: Remote  

Schedule: Monday – Friday

Hours: Full-time, 40-hours/week

FLSA Status: Hourly, non-exempt

Clearance: Ability to obtain a Secret clearance  


Position Summary

The Sales Support Coordinator for the AV Solutions team is a highly organized and technically proficient position. The position provides comprehensive support to our sales team delivering complex audiovisual systems and integration projects. This individual will play a pivotal role in ensuring the accuracy and efficiency of sales proposals, equipment lists, and vendor transactions throughout the sales, pre-installation and implementation lifecycle.

This position will work closely with the AV Sales Executive, engineering, and PMO/operations teams to validate solution designs and maintain quality control across all customer-facing documentation. A strong understanding of AV system components, signal flow, and product interoperability is required.

This position bridges the gap between technical system design, sales execution, and procurement, ensuring that every quote and order reflects a viable, accurate, and deliverable solution. Attention to detail, proactive communication, and a technical mindset are critical for success. This position plays a key role throughout the award, post-award, and implementation phases to ensure projects are completed on time, within scope, and on budget for our AV Solutions team. The performance of the Sales Support Coordinator position is key to RavenTek’s successful performance on multiple IDIQ contracts for the federal government.


Requirements

Essential Duties and Responsibilities

  • Analyzes complex AV/IT Bills of Materials, collaborates with SME’s, RavenTek AV Design Engineers and vendors to obtain pricing quotes. 
  • Coordinates the resolution of discrepancies or material substitutions.
  • Identifies and flags discrepancies in part numbers, pricing, or availability.
  • Interfaces with vendors to validate procurement of specified IT hardware, actively monitors order fulfillment and shipping logistics, and ensures alignment with project timelines and contractual delivery requirements.
  • Collaborates with AV Design Engineers to verify technical requirements and ensure timely procurement of specified IT equipment aligned with project specifications and timelines.
  • Ownership of maintaining quote integrity, verifying SKU accuracy, and ensuring seamless communication with OEM vendors and distributors.
  • Populates quotes via both Excel and RavenTek’s quoting system.
  • Maintains document repository for quotes, equipment lists, designs and engineering requirements.
  • Creates, reviews and submits product award order packages.
  • Provides administrative support for assigned Sales Executive.
  • Assists with and submits new vendor requests.
  • Assists with reporting to customers, stakeholders and the sales management team.
  • Cross-checks proposals with system design requirements to ensure compatibility and completeness.
  • Travel will be required on an as-needed basis for site surveys. 
  • Enters actual time worked, once complete, at the end of the day, or no later than 10:00 a.m. the following workday, and submit timesheets at the end of each pay period. 
  • Complete required compliance training as assigned. 
  • Other duties as assigned.

Knowledge and Critical Skills

  • Expert knowledge of excel to include complex data analysis utilizing advance excel functions such as pivot tables, VLOOKUP and Data Validation.
  • Must possess a foundational knowledge of IT infrastructure, audiovisual (AV) systems, and video teleconferencing (VTC) technologies, including their components and functional integration.
  • Understanding of audio-visual products and pricing.
  • Must have a technical mindset. 
  • Must possess extensive knowledge of Microsoft Word, and Adobe.
  • Ability to communicate effectively and proactively, both written and verbal.
  • Ability to work efficiently both independently and in a collaborative setting.
  • Must be results-oriented.
  • Must have a strong attention to detail.

Education & Work Experience

  • Minimum of 2 years of experience quoting technology products.
  • Bachelor's degree preferred but not required.
  • Experience using quoting tools, BOM management, and vendor logistics.
