About the role
Overview
Perform customer service, clerical, and accounting duties to operate the “Patient Fund Management Office”; perform cashiering functions for petty cash and cafeteria cash, perform clerical and accounting duties involving the maintenance/updating of accounts including the preparation and posting of monthly transactions; perform other clerical and accounting support functions.

III. Position Responsibilities:
Patient Fund Management Office Operations
- Perform and process transactions as follows:
- Ensure individual accounts are up to date, accurate, and in balance.
- Post all cash, check, credit card and EFT transactions to individual accounts.
- Receive deposits and process withdrawals.
- Handle requests from patient or family for payment.
- Ensure that withdrawals meet department guidelines for approvals.
- Ensure that all records are complete and organized.
- Process patient request for cash withdrawals – maintain current listing of withdrawal limits or accounts that are on a scheduled or restricted cycle for withdrawal of monies per their family.
- Follow up with family member on overdrawn accounts.
- Review patient discharge and process refund to family members.
- Maintain and reconcile cash boxes (daily and holding).
- Prepare Daily worksheet and other cash activity reports.
- Process payment of bills like Insurance Premiums, Salon, Phone & Cable…
- Process checks weekly from requests for payment.
- Answer incoming telephone calls regarding patient account related questions/inquiries; verify balances & mail statements on request.
- Ensure a high level of customer service.
Perform accounting functions for the Patient Fund Management Office
- Balance checkbook and all other activity.
- Prepare/post monthly interest to Resident PNA accounts if any.
- Process and mail account activity statements quarterly.
- Be expert on SSA and Medicaid rules and regulations regarding patient fund.
- Monitor account balances for patients on Medicaid to insure balances do not exceed state guidelines for maintaining eligibility.
- Prepare annual accounting to Medicaid of PNA balances.
- Support the periodic SSA Rep Payee audit process.
