Job Summary

The Administrative Assistant for the Heartspring Medical Office is responsible for all of the general administrative duties of the medical office, including answering phones, scheduling appointments, ordering and stocking supplies, and maintaining student and patient files and insurance paperwork. The Administrative Assistant must also be a Certified Medication Aide (CMA) and will perform some CMA duties.


Primary Functions

  • Answer medical office phone line and take messages or direct callers as appropriate. Provide follow-up communication with parents or outside medical offices as directed.
  • Manage schedule for nursing staff as to upcoming appointments and procedures for the residential students. 
  • Notify appropriate student teams of upcoming appointments and procedures with the medical office. 
  • Manage Med/ABA follow-up schedule and notify appropriate teams of the weekly schedule.
  • Prepare and present medical and behavioral data during weekly Med/ABA meeting.
  • Maintain insurance and appointment forms for all residential students.
  • Scan documents into student EMR chart.
  • Maintain inventory of student medical records stored in the salt mines.
  • Inventory and stock necessary office and client supplies. Communicate with the Nursing Director regarding any supplies needing ordered.
  • Check mail daily and distribute. Any invoices or bills that must go to parents must be forwarded within three (3) business days.
  • Verify accuracy of medications to be administered to students.
  • Setup, distribute, and document prescribed medications to students in the Heartspring School and residential group homes.
  • Ensure controlled substances are accurately tracked and signatures for any removals have been obtained prior to removal.

Secondary Functions

  • Assist with performing vital sign, height, and weight checks as requested
  • Assist with inventory and re-stock first aid kits in the group homes and classrooms on a monthly and as needed basis.
  • Perform and record refrigerator temperature checks.
  • Check-in cycle fill medications and pharmacy deliveries as they arrive.
  • Assist with the preparation of medications for student travel days and parent visitations.
  • Ensure compliance with Kansas DCF regulations regarding medication storage and labeling.
  • Other duties as may be assigned by supervisors.
Requirements

  

  • Current Certified Medication Aide (CMA) 
  • Prefer six (6) months experience as CMA
  • Prefer experience working with individuals with developmental complexities.
  • 18 years of age or older.
  • High school diploma or equivalent.
  • Must have flexible work schedule including evenings, weekends, and holidays.
  • Must complete all required orientation and training conducted by Heartspring staff.
  • Must maintain current CPR certification.
  • Must maintain current NCI certification.
Salary Description $17.25 - $22.20 depending on experience
