The Business Operations Department at the Rosenstiel School of Marine, Atmospheric & Earth Science at the University of Miami has an exciting full time opportunity for Financial Analyst 1. The success ful candidate will assist with the financial operations for the Rosenstiel School by monitoring, supporting, and evaluating grant activities and research accounts from award set-up to closeout within the assigned department(s). Moreover, this position interprets applicable regulations and assists faculty and staff in understanding the proposal preparation and submission and sponsored programs requirements. This individual will also have a good understanding of financial applications specifically in Excel.

Duties and Responsibilities include:

  • Complete all forms required by each specific application submission and obtains signatures from faculty and all other required school approvers.
  • Review proposals and ensures all documentation is correct and ready for submission.
  • Prepare sub-contracting documents as required by the award and submit to ORA contracts for negotiations.
  • Prepare and submit financial reports and follow up with faculty regarding the submission of technical report submissions and obtain copies for the file.
  • Maintain award information current, process budget continuations, re-budgeting requests, no cost extensions, funding requests and generates required award reports.
  • Prepare budget plan and ensures relevant documentation and budget justification are submitted, and verifies all information is correct in Workday.
  • Prepare, review, and verify budgets with specific attention to effort and salary, travel, subcontracts, consultants, equipment and indirect costs if applicable.
  • Review account attributes in Workday, create budget plans and submit information to central offices, and verify budget in Workday system.
  • Maintain salary projection spreadsheet for each faculty, their lab, staff, and students and advise HR of salary funding issues that might require a lay-off letter for research faculty and research staff.
  • Enter costing allocations in Workday as per faculty approved salary projection spreadsheet.
  • Distribute summaries of accounts, including corrective measures such as cost transfers with justifications and appropriate documentation as needed.
  • Approve and monitor expense transactions with the approved budget and ensures compliance with general and specific government and agency regulations and University policies.
  • Track award end dates and notifies PIs of burn rate and requests extensions and use of funds, as required by award.
  • Review and approve salary transactions, employee expense reimbursements, capital equipment acquisitions, journal entries, purchase orders requests, including consulting, sub-award, technical supplies, outside services, etc.
  • Meet with faculty as needed to provide updates and forecasting to assure correct expenditures and allocation for accounts.
  • erve as a resource for other departments providing assistance to faculty and staff with cost analysis and fiscal allocation.  Consult with departments regarding budget analysis, financial reports, reconciliations, irregular and unusual transactions, and problem resolutions.
  • Perform account reconciliation against the University’s Financial Records System (Workday).
  • Oversee fiscal management for assigned accounts including billing, expenditure requests, and account reconciliation.
  • Input and extract data from various business application systems, provide information to faculty and staff as needed.
  • Provide customer service to all faculty, research staff and students related their research activities.

Qualifications:

  • A Bachelor’s Degree in Finance, Accounting, Research Administration or related field is preferred.
  • Three years of progressively responsible experience, in an academic and research setting is preferred. 
  • Experience in research administration highly preferred.
  • Strong accounting and analytical skills, and knowledge of general accounting principles.
