Administrative Assistant II to provide support to SVP, Sustainability by maintaining his calendar and coordinating his meetings, calls & events. Candidate will report to SVP and work closely with department Sr. Coordinator who will prioritize tasks as necessary.
Responsibilities:
Scheduling and preparing for meetings, which includes conference room prep, agendas, calendar invites, and distribution of pertinent documents.
Prioritize and facilitate action items and tasks for executive and self. Includes attending meetings as required.
Distributing and following up on documents/emails
Composing/generating/managing emails
Proofreading and editing
Filing, organizing binders/folders, both hard copies and digital
Other general administrative duties (updating databases, lists, processing mail, copying, etc.)
Assist with creation/compiling/disbursement of documents and presentations
Representing sustainability at on-lot employee events as required
Processing expense reports
Keep office supplies current and organized
Miscellaneous duties as assigned
Requirements:
Minimum 3 years of experience in an executive assistant capacity, experience in supporting a senior level executive is preferred
Associate degree is preferred
Entertainment or corporate experience preferred
Ability to work a flexible schedule, occasional overtime may be required
Excellent computer skills, specifically Word, Excel, Teams, working knowledge of Visio, PowerPoint, SharePoint, working knowledge of audio, video, and image files
Strong communication, interpersonal and organizational skills
Demonstrates high problem-solving skills and able to proactively troubleshoot
Must be able to perform efficiently and with accuracy and attention to detail
Must be able to work independently and multi-task with ease
Must be able to work well under pressure and with tight deadlines
Identify work priorities and requirements upfront and make timely decisions
Demonstrates the ability to work with all levels of management
Demonstrates the ability to work as part of a team
Must be able to exercise initiative, professionalism, and confidentiality
The anticipated base salary for this position is $54,200 – $71,100. This role may also qualify for annual incentive and/or comprehensive benefits.
