About the role

Ivy tech Evansville is seeking a qualified Facilities Assistant. This role is responsible for maintaining the Fixed Asset Inventory System, scheduling events, key requests, and providing administrative support to the Facilities Office by functioning as the assistant to the Director of Facilities Management.

Major Responsibilities:

• Serves as the contact person for custodial matters and is responsible for ordering custodial supplies.

• The Facilities Assistant is the contact person for maintenance issues.

• Is a member of the emergency response team in the event of inclement weather, fires, or other emergency situations and participates in various drills depicting possible emergencies such as fire drills, tornado drills, earthquake drills, etc.

• Obtains Certificates of Insurance and keeps a file of incoming certificates of insurance from various agencies associated with the college.

• Assists with the physical inventory process• Manages inventory system for the Evansville Service Area and is responsible for adding, transferring, and deleting physical inventory to the system.

• Assists with audits of inventory as needed.

• Coordinates Facilities office functions in a timely manner including but not limited to work order requests, key requests, parking tickets, parking permits, etc

• Manages the student locker system (involves initial assignment, renewal, end-of-semester clean outs, arranging for repairs to locks or lockers as needed, and tracking all current locker assignments).

• The Facilities Assistant serves as a backup to the mail room/copy center staff during vacation or illness leaves

• Assists with new and ongoing construction projects. Assist in generating bid specifications for newspapers and other documentation for R & R projects as prepared by the Executive Director of Administration or Director of Facilities Management.

• The facilities assistant also scans/copies construction documents then will forward them to the architects and maintains records for the College.

• Handles purchasing for all of Facilities, Maintenance, and Security.

• Uses Live 25 to ensure rooms are scheduled and allocated for events appropriately.


Compensation and Benefits:
$15.00-$16.00 per hour based on experience.
Monday-Friday 40 hours a week

Work Hours:  

  • Typical business work hours, may be adjusted during peak times.

Minimum Qualifications:

  • An Associate Degree in Administrative Office Technology or Computer Information Systems
  •  Minimum three years’ work experience.
  • Must be proficient in word processing, database, and spreadsheet software packages.
  • This is an in-person position at our campus in Evansville, IN. Remote work is not available.
