Job Title: Part-Time Grant Program Assistant

Organization: Oklahoma Historical Society (OHS)

Location: Oklahoma City, Oklahoma-Oklahoma History Center

Hours: Approximately 15 hours per week

Compensation: $15-$17 per hour

Position Summary:

The Oklahoma Historical Society (OHS) is seeking a Part-Time Grant Program Assistant to support the Oklahoma Heritage Preservation Grant Program under the supervision of the Director of Strategic Initiatives. The assistant will provide administrative support to ensure efficient communication, accurate record-keeping, and timely assistance to grantees and program activities.

Key Responsibilities:

  • Database Management:
    • Maintain and update the OHS partners database to ensure all applicant contacts are accurate and current.
  • Grantee Support and Engagement:
    • Build and maintain relationships with grantees and stakeholders.
    • Coordinate scheduling of site visits and meetings.
    • Ensure all communications align with the program’s administrative rules.
    • Develop resources to assist applicants with information on OHS grants, services, and technical assistance.
    • Provide general support to grantees during the grant cycle.
  • Grant Cycle Support:
    • Prepare and update the online grant application before the publicized opening date.
    • Organize and verify required documentation in grant applications.
    • Assist in preparing materials essential to the grant review and award process.
    • Schedule grant review meetings with the OHS staff review committee and the Oklahoma Heritage Preservation Grant Review Committee.
  • Contract Management and Administrative Tasks:
    • Assist in preparing contracts for awarded organizations under the guidance of the Director of Strategic Initiatives.
    • Process reimbursement requests, progress reports, and final project reports.
    • Ensure prompt payment to grant recipients upon receipt of invoices.

Qualifications:

  • Experience in administrative support or grant management.
  • Proficiency in Microsoft Office Suite.
  • Ability to learn the Submittable data management system.
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage time effectively within a part-time schedule.
  • Familiarity with Oklahoma’s historical organizations is a plus.

Education/Experience:

  • Requirements at this level consist of an associate degree or equivalent, coursework in administration, communications, business, or related field preferred.
