The Executive Assistant provides highly complex and specialized administrative duties for but not limited to the Senior Vice President, Quality with significant global scope and complexity and very minimal supervision. Teva is searching for a resilient organized self-starter “Executive Assistant” to join our team in Parsippany, NJ! Must be proactive, have the ability to multi-task, and prioritize in a changing environment. We are looking for a team-oriented individual who demonstrates a positive demeanor. Must display strong problem-solving abilities. This person is hands on in nature and has an excellent sense of judgment especially with confidential matters. This role acts as the main local point of contact for senior executives, providing support as required.
Travel Requirements: Occasional local travel may be required, and the role may also require regular on-call availability during nights and weekends for scheduling, travel, and other critical needs.
How you’ll spend your day
- Meeting management- Prepare, align, and execute agendas. , compile reports, document decisions and issue meeting minutes. Perform follow up, as required.
- Travel management - Coordinate extensive travel with key stakeholders globally working through different time zones and liaison with individual through global locations.
- Calendar, email, expense management -Administrative support to include managing MS Outlook (email, calendar management), travel arrangements, expense reporting, preparing drafts of correspondence, preparing spreadsheets and presentations, handling mail, filing, ordering supplies.
- Logistics management - Coordinate and manage high levels of internal and external meetings to ensure all logistics, i.e., conference rooms, venue, telecommunications equipment, catering, etc., and meeting materials are meticulously planned and prepared.
- Manage confidential information flow within the organization, exercising a high level of discretion.
- Recommends process improvements where applicable.
- Resolve routine and non-routine inquiries, filtering and managing requests, providing information through independent research and use of internal/external resources.
- Organize paperwork and files in a way that is easily retrievable.
- Maintain effective relationships with internal and external contacts.
- Maintain and update record and electronic files as needed.
- Additional tasks and projects as requested.
Your experience and qualifications
Education
Required: High School Diploma or equivalent
Preferred: Bachelor’s Degree
Experience
- Minimum of 5 years of experience in an administrative role required, with at least 3 years supporting Senior C-Suite level executives within a corporate environment highly preferred.
- Experience working in a multi-national organization with calendar management responsibility across multiple time zones and frequent international travel management experience.
- Advanced computer skills required (Microsoft Outlook, Word, Excel, PowerPoint), Concur Travel and Expense, Internet/Intranet and SharePoint.
- Demonstrates ability to take ownership, initiate and establish priorities, anticipate needs, and handle multiple tasks simultaneously under demanding time constraints, with minimal direction, to deliver on commitments and deadlines.
- Demonstrates ability to anticipate problems and take preventative action, extrapolate from previous experiences to prevent problems before they impact the organization.
- Demonstrates high attention to detail with excellent organization and planning skills along with proven ability to take ownership and drive results.
