Job Description Summary

The Alabama College of Osteopathic Medicine (ACOM) is seeking a detail-oriented and student-focused Assistant/Associate Registrar to join our dynamic Student Services team. This is an exciting opportunity to play a vital role in supporting academic operations and student success at a mission-driven institution. Reporting to the Registrar and working under the leadership of the Associate Dean of Student Services, the Assistant/Associate Registrar will oversee key functions related to matriculation, graduation, records management, registration, and grading. The successful candidate will contribute to institutional compliance with FERPA and Department of Education requirements, ensure the accuracy and security of student academic records, and support ACOM’s academic programs with integrity and excellence.


Job Description

Duties and Responsibilities:

  • Matriculation process: Process received transcripts, verify citizenship status, track missing documents, and assign academic plans to each matriculate
  • File Management: Performs a full range of clerical and record keeping duties that include the creation and maintenance of student records, verification of data submitted on the application, process name change requests, change of address and update emergency contact information in PowerCampus.
  • Registration: Register students for individual courses each semester, update class rosters/photos and disseminate accordingly
  • Student Tracking: Continuous student academic plan progress tracking and communication with Medical Education and Academic Support team.
  • Grading: Assist the Registrar in posting final grades as needed
  • Reporting: Assist the Registrar in generating student population and enrollment reports for submission to NSLDS, AACOM and other stakeholders
  • Graduation: Process applications for graduation, diplomas, official transcripts, verifications, diploma vendor communication and collaboration
  • Alumni: Timely License Verifications, official transcripts, and other information needed for alumni continued success
  • Quality Assurance: Assist Registrar in maintaining FERPA compliance, and stays abreast of professional standards.
  • Contributes to the planning, development, implementation, and promotion of policies, functions and initiatives to streamline operations and adopt best practices and procedures
  • Other duties as assigned

Position Qualifications:

  • Required:
    • Bachelor's degree from an accredited institution.
    • Experience managing student information systems.
    • Strong writing and editorial skills.
    • High proficiency in data management and computer applications.
    • Effective verbal and written communication skills.
    • Ability to travel as needed.
  • Preferred:
    • Master's degree.
    • Minimum of five years of relevant work experience.
    • Previous assistant/associate registrar experience.
    • Experience in a higher education setting.

Knowledge, Skills, and Abilities

  • Ability to interpret and apply federal, state, and local laws, regulations, and guidelines.
  • Ability to work independently, prioritize tasks, and manage multiple projects from beginning to completion.
  • Ability to research, analyze, and solve problems
  • Ability to work in the student information system for extended periods
  • Strong attention to detail and accuracy, self-motivation, and organizational skills are required, along with the ability to maintain strict confidentiality of records and student information.
  • Excellent computer skills, including proficiency with Microsoft Office products; experience with higher education.
