Position purpose:

Reporting to the Manager of the Dean's Office, provides advisory services and administrative support to the Vice-Dean Academics, academic units, faculty staff members, and undergraduate and graduate students related to the integrity of academic procedures (academic fraud cases), student appeals, or student exceptions requests (e.g. mandatory withdrawal from the Faculty, retroactive withdrawal, refunds, retroactive enrollment, withdrawal from internships, grade review, letters of permission, exceptional requests, convocation, change of program of study, and others).

Note: This is a contract or a temporary assignment up to six (6) months in duration.

In this role, your responsibilities will include:

  • Integration of University academic and administrative processes and systems: Integrate academic and administrative processes and management systems related to appeals and fraud as part of faculty planning or management.

  • Advising: Act as an expert resource person to school administrators, faculty, undergraduate and graduate students for procedural matters related to academic fraud cases, appeals or requests for exceptions.

  • Coordination of the operations of the Vice-Dean: Coordinate all activities related to the management of academic fraud cases, appeals and exception requests. Is responsible for greeting students and explaining procedures, evaluating and analyzing supporting documentation. Prepares annual reports as required by the various university authorities;  archives student files in accordance with the University's confidentiality rules.

  • Calendar and meeting management: Manage the Associate Dean, Academics' calendar by scheduling and confirming appointments to ensure the optimal use of their time. Ensure the administrative planning and material organization of formal and informal meetings.

  • Communication: Develop, implement and maintain effective communication strategies with all Faculty units to ensure effective coordination of activities and events.

  • Production of reports: Conduct research and surveys, prepare and analyze complex reports related to academic activities to support discussions, decision-making, special projects and activities of the Academic, Vice-Dean Office.

What you will bring:

  • Post secondary education in administration or related discipline or equivalent combination of education and work experience.

  • Minimum of three (3) years of proven experience in a similar role.

  • Extensive knowledge of the administrative structure and governance of a large organization preferably in a university setting.

  • Knowledge and experience in the application and interpretation of regulations, policies and collective agreements.

  • Knowledge and experience with computer systems and software such as Windows, word processing, spreadsheets, databases, Internet and e-mail.

  • Strong interpersonal, communication and customer service skills.

  • Experience in analysis and problem solving.

  • Experience conducting analysis, research and reports.

  • Experience in project management.

  • Experience in bilingual administrative writing.

  • Ability to produce high quality work
