Primary Function/General Purpose of Position

The primary responsibility of this position is to perform secretarial and administration duties for the Department of Radiation Oncology.  Has latitude for independent judgment, using ingenuity and initiative.  Demonstrates attitudes and/or behaviors in interacting with others that are courteous, polite, concerned, friendly and respectful, resulting in favorable patient, physician and staff perceptions of the Bon Secours Cancer Institute and its employees.

           

Employment Qualifications

  • High School graduate or equivalent.
  • Experience with computer software, namely Microsoft Word, Outlook and Excel.   Comfortable with keyboarding and learning new hardware and software.
  • Organizational skills required for record keeping and front office management.
  • Attention to detail and concentration while performing multiple tasks simultaneously.
  • Proficient in Medical Terminology.
  • Use of standard office equipment such as copier and fax machine.
  • Graduate of a business school or two years’ experience preferred.

Essential Job Functions

  • Assists Clinical Coordinator with obtaining and compiling information on new and returning patients.  Obtains records from hospital and referring physician offices.  Prepares department charts by scanning appropriate information into the EMR.
  • Receives and screens phone calls.  Uses appropriate phone etiquette. Responds to the callers’ requests as appropriate following hospital and departmental policies and procedures.  Ascertains callers’ needs and tactfully refers caller to appropriate personnel.  Responds to inquiries concerning general administrative activities and operations and refers complex and/or sensitive inquiries to appropriate person(s).
  • Receives patients and visitors, courteously assisting each person as needed.
  • Assists patients with insurance referrals for office visits. 
  • Maintains department records.  This would include: storage and retrieval of records, entering/updating the patient data base and scanning pertinent documents into the EMR.  Must handle all information confidentially following guidelines.
  • Retrieve and deliver departmental mail.  Deliver special requests such as the copy room, arranges courier service when needed and maintenance work orders.
  • Schedules consults and follow up appointments and updates physician schedules in EMR. Notifies hospital operator of changes in physician call schedule.     
  • Follows up on tests ordered in a timely manner with the nurse or physician as appropriate.
  • Registers patients in hospital EMR.  Obtains signed HIPPA consent form plus registration demographics information and scans/enters into patient’s electronic chart.   Updates patient registration numbers as needed in electronic chart.
  • Makes reminder phone calls to consult and follow up patients regarding appointment time, parking, location and general registration instructions.
  • Confirms each patient’s demographics, contact information and insurance information at each new consultation, follow up visit and January 1st of each year.
  • Collects patient’s copayments during their visit.
  • Demonstrates the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit.  Demonstrates knowledge of the principles of growth and development of the life span and possess the ability to assess data reflective of the patient's status and interpret the appropriate information needed to identify each patient's requirements relative to his or her age, specific needs and to provide the care needed as described in the departmental policies and procedures.
  • Prioritizes achieving positive outcomes for patient safety and patient satisfaction within all clinical and nonclinical functions and responsibilities
  • Any other function needed for the efficiency and effectiveness of patient care within the department within legal limitations

Other Job Functions

  • Adheres to BSHSI regulations, and polices.
  • Monitor inventory of office supplies and informing supervisor when supplies are low and need to be reordered. 
  • Arranges for transportation of patients to and from Radiation Oncology when necessary.
  • Maintains cleanliness and sanitation of the work area and equipment.
  • Helps educate other staff
