WHAT’S THE JOB? 

 

Work in co-operation with the sales& marketing and catering & convention services team and co-ordinates the preparation and issuance of business proposals and contracts, and bookings for guestrooms and/or event venues.  Proficient in the application of all sales and catering booking systems and processes to maintain customer profiles.  Provide high-level administrative support by conducting research, preparing statistical reports, collecting and processing sensitive data, and also resolving guest issues.

 

Every day is different at IHG, but you’ll mostly be:

 

  • Attend the general sales hotline and all incoming telephone calls 
  • Acts on guests’ requests, provides initial suggestions on sales inquiries 
  • Distributes sales leads immediately for responses within 24 hours 
  • Preparing sales-related documents throughout the sales process (e.g. Proposal, Contracts, Corporate Rate Letters, Proforma invoices) 
  • Understands the systems and process of checking for the availability of guestrooms and event venues 
  • Proficient in the application of Delphi and Opera systems; maintenance and management of database, including the updating of daily revenues 
  • Communication and preparation of showroom keys and checking of the showrooms 
  • Preparation/consolidation of overseas sales call schedule/appointments for the Sales team 
  • Work on educational or familiarization groups in coordination with the Sales team 
  • Preparation, requisition, and stock control of collateral, printed material, stationery, corporate gifts, and promotional items 
  • Assist with the preparation of new products and services as directed and provide guests with information 
  • Attend the sales-related meetings from time to time, and may be required to take minutes of meetings to be circulated accordingly. 
  • Liaising with clients to build accurate events bookings 
  • Delivering exceptional service standards in-person, by email or over the phone
  • Establishing client requirements to effectively facilitate their needs
  • Responding to meeting & events inquiries and upselling to maximize sales, occupancy, and revenue
  • Other duties as assigned by the supervisor.

 

What We need from you:

  • Diploma/Degree in Hospitality Management or related disciplines
  • Previous sales, marketing, groups, meetings, and events experience in a hotel 
  • Passion for providing excellent client experiences and client engagement
  • Confidence in proactively preventing problems and ability to handle service recovery following any complaints
  • Love of working in a fast-paced and motivated team with a desire to take the next step in your career
  • Excellent attention to detail
  • Exceptional administrative and time-management skills
  • Willingness to work as part of a team and learn new things
