Operations Assistant (Contract)

Description

We are seeking an Operations Assistant to join our Trading Operations department. The successful candidate will be responsible for providing support to the team with claims, data entry, data management, and document processing duties. The role is an essential part of the team accountable for back-office activities and ensuring the team is fully briefed on progress and frequently communicating with team members in other departments.

Responsibilities:

• To assist all operators in handling claims such as deviation and freight savings.
• Record and process all claims received and issued per our internal procedures and processes.
• Prepare and communicate payment instruction documentation to the operations team for delivery to various counterparties and customers.
• Scan, send, and save the documents internally per company accounting and compliance process.
• Daily review and reconciliation of information in various systems and worksheets to ensure the accuracy of transactions.
• Responsible for verification of approvals of contracts prior to uploading into an online system.
• Request ship vetting documents, file vetting request form, and submit vetting documents.
• Input data in the ERP system or other system as requested.
• Perform other duties as assigned.

Requirements

• Bachelor’s degree in Logistics, Supply Chain, Maritime, and/or related fields
• Excellent verbal and written communication skills
• Bilingual Mandarin Chinese and English is a plus 
• Excellent organizational skills and attention to detail
• Fast learner and keen to work in a trading environment where a high volume of oil is traded
• Negotiations skills preferred
• Shipping background preferred
• Proficient with MS Office Suite, specifically expertise with Excel
• Ability to quickly learn the company’s ERP
