As an Executive Recruiting Administrator, you will work closely with the talent acquisition team and executive leaders to coordinate all aspects of the recruitment process for executive and senior-level positions. This includes managing candidate scheduling, preparing interview materials, tracking candidates through various stages of the hiring pipeline, and handling other administrative tasks related to the recruiting process.

As an Executive Recruiting Administrator, you will work closely with the talent acquisition team and executive leaders to coordinate all aspects of the recruitment process for executive and senior-level positions. This includes managing candidate scheduling, preparing interview materials, tracking candidates through various stages of the hiring pipeline, and handling other administrative tasks related to the recruiting process.
Candidate Coordination:
- Manage and schedule interviews with executive candidates, ensuring all logistics are handled efficiently (virtual and in-person interviews, travel arrangements, etc.)
- Serve as the main point of contact for candidates, providing them with timely updates and support throughout the recruitment process.
Interview Support:
- Assist in preparing interview materials, including candidate profiles, feedback forms, and interview schedules.
- Prepare interview rooms or virtual platforms, ensuring seamless connectivity and environment for executive interviews.
Data Management & Reporting:
- Maintain and update candidate records in the Applicant Tracking System (ATS), ensuring all information is accurate and current.
- Generate regular reports on recruiting metrics, including candidate progress and interview feedback.
Candidate Experience:
- Act as an ambassador for the company, ensuring all candidates have a positive and professional experience throughout the recruiting process.
- Facilitate communication with candidates to answer inquiries and provide feedback in a timely manner.
- Provide recommendations for improving recruitment strategies and streamline processes.
Confidentiality & Professionalism:
- Handle sensitive and confidential information with discretion, maintaining the highest levels of professionalism and integrity in all interactions.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- 5+ years of experience in recruiting coordination, preferably with a focus on executive-level recruitment or senior leadership positions.
- Exceptional organizational skills and the ability to manage multiple tasks and deadlines in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to interact professionally with senior executives, hiring managers, and candidates.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with Applicant Tracking Systems (ATS).
- Detail-oriented with strong problem-solving skills and the ability to handle complex logistical tasks.
- Ability to work independently, as well as collaborate effectively with a team.
Preferred Qualifications:
- Familiarity with recruiting software and platforms (e.g., LinkedIn Recruiter, Greenhouse, Lever, etc.).
- Previous experience in an HR or talent acquisition environment, particularly at a senior/executive level
