Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF) seek a highly organized, detail-oriented, and results-focused Associate Director of Procurement Management. This job reports to the Director of Procurement in the Finance and Accounting division of PPFA.
The Procurement function supports all stakeholders in the responsible purchasing of goods and services for PPFA, PPAF and its subsidiaries, and Planned Parenthood Global (collectively the Organizations) with a commitment to customer service, sound controls, compliance monitoring, and timely, accurate, and complete reporting, analysis and decision support to further the Planned Parenthood mission.
Purpose:
Reporting to the Director of Procurement, the Associate Director assists with the development and implementation of the Procurement function, including people, processes, and technology, to support procurement-related organizational process improvements, policies and standards, and compliance monitoring and training. The Associate Director also oversees and administers RFx processes and assists with contract negotiations and administration.
Engagement: ●Delivers high-quality product and positive, professional client service by adapting to urgent deadlines, changing demands, and shifting priorities.●Assists Procurement team Leadership in stakeholder engagement across many levels of the organization to ensure that the team builds and maintains a status of being a trusted partner among organizational clients.●Represents Procurement, Contracts Negotiation, and Partner Intake functions at external and internal meetings, conferences, and internal training as new processes are established.●Works closely with clients from other departments and organizational units to understand procurement-related needs and execute solutions.●Works with other departments, vendors, and stakeholders to complete due diligence and execute procurement processes.●Supervises and leads other members of the Procurement team
Delivery:
Working under the direction of the Procurement Director, the Associate Director adapts to changing demands and shifting priorities, always with a view to delivering high-quality service and products. The Associate Director:●Initiates and follows through the project from initiation of purchasing inclination to resolution of service or material receipt, either directly or through supervision and leadership of other members of the Procurement team.●Assists with the Risk Assessment of all new Procurements and escalates important issues and potential legal risks for review and/or action by Procurement leadership or the Office of the General Counsel.●Reviews draft contracts and contract edits, which may include third-party agreements, sponsorship agreements, licensing agreements, commercial co-ventures, media releases, NDAs, trademark filings, intellectual property licenses, and related legal documents, and engages Office of the General Counsel staff as needed for reviews and edits.●Partners with clients across the organization’s business units to ensure progress of various types of contracts through negotiation, drafting, review, approval, and execution stages; this negotiation and administration will be done via the Coupa Software system.●Assists Procurement Team in drafting/editing forms, templates, and agreements, as needed. ●Collaborates on development and owns the delivery of initial and ongoing Procurement training programs and guidance to staff across the Organizations. Implementing a Procure to Pay system via the Coupa software will require initial training across the Organizations on policies as well as use of the Coupa p
