Overview
The Administrative Coordinator will support the daily operations of the department by handling a variety of administrative tasks, including email management, answering calls, setting up meetings, documentation organization, billing, customer service, entering work orders, etc. The Administrative Coordinator will also manage the website, monitor social media, assist with community engagement and create content for neighborhood and business communications.
This is a part-time position that is required to be onsite 4 days a week with flexibility to work 8:00am to 1pm or 10:00am to 3:00pm.
About The Department:
The High Winds Fund is the Department of Macalester that is responsible for the off-campus real estate owned by the College and for community relations work in the immediate neighborhood around campus. The properties include residential homes and apartment buildings as well as several commercial buildings with a variety of retail, service and restaurant tenants. The office currently consists of a Director and a Property Manager. The High Winds Fund sits outside the general operations of the College but also partners with and supports the work of other Departments within Macalester, including our Facilities team. The High Winds Fund Director reports to the SVP of Administration and Finance and is also governed by a Committee of the Board of Trustees of the College.
Responsibilities
- Support day to day administrative tasks of the department and Director
- Manage department email, answer calls, enter work orders
- Organize physical and electronic filing and document management
- Manage and update website content
- Provide editing support for documents
- Provide support to the department by creating and generating reports
- Assist with the marketing of the residential properties
- Assist with other responsibilities as assigned by the Director
Qualifications
- Strong administrative technical skills including, excellent oral and written communication skills, including comfort talking on the phone. Strong note-taking abilities.
- Knowledge of or training in property management industry is preferred but not
required
- Proficient with modern office software and information systems including:
- Microsoft Office products; Google applications; and basic website
Management (currently wordpress)
- Ability to learn other specific property management software
- Disciplined and able to follow through on tasks and projects
- Able to be interrupted and go back to productive work
- Ability to organize, prioritize, have strong attention to detail, and to work independently a majority of the time
- Ability to maintain confidentiality with information, and communications
- Curious and interested in analyzing trends to help find and define solutions
- Understanding of basic accounting
- Excellent customer service and interpersonal skills with the ability to promote and maintain good relationships for resident retention. This includes the ability to remain calm under pressure and respond quickly and appropriately to difficult questions in stressful situations
Compensation:
The hourly wage for this position will be $22.40 - $23.42. depending on experience.
