Responsibilities:

Executive and Project Support

  • Provide direct support to multiple senior leaders (military O-6 and above, GS-15 and above, or industry equivalents), ensuring the coordination and execution of high-level initiatives and priorities.
  • Act as a project lead for executive-level initiatives and events, managing efforts from initial planning through execution and close-out.
  • Partner with government leadership to define project scope, goals, and deliverables, then drive execution through milestone tracking, stakeholder engagement, and risk management.
  • Lead cross-functional coordination for projects and events, including the supervision of a small team responsible for logistics, setup, execution, and follow-up activities.
  • Support action officers and senior executives in planning and executing strategic meetings, ceremonies, briefings, and other official engagements.


Scheduling, Communication, and Correspondence

  • Maintain and manage complex calendars for senior leadership; coordinate meetings and appointments, and deconflict scheduling conflicts in collaboration with other executive support staff.
  • Oversee the preparation, review, and coordination of executive-level correspondence, documentation, and internal communications.
  • Coordinate taskings and timelines using task tracking tools such as the Task Management Tool (TMT); act as the TMT subject matter expert (SME) and provide training to new users.


Onboarding and Personnel Coordination

  • Lead and manage the full onboarding process for new hires (CACI, subcontractors, and JNWC personnel), serving as the Day One Coordinator.
  • Supervise onboarding support personnel, delegate tasks, and ensure timely completion of all onboarding and offboarding activities.
  • Develop and improve onboarding processes and best practices to support program growth and efficiency.
  • Coordinate onboarding logistics, including I-9 verification, new hire paperwork, corporate and program orientations, Air Force account setup, equipment issuance (GFE/loaner laptops), and CAC card support.
  • Distribute weekly hiring alerts and onboarding updates to Program Managers and key stakeholders.
  • Use staffing metrics and databases to track onboarding progress and recommend process improvements.
  • Stay updated on changes to corporate onboarding policies and assess implications for program-level onboarding and staffing.


Qualifications:

  • Active Secret level clearance
  • High School or equivalent with 7 years Relevant Experience and 4 years of Relevant Experience in Executive Administrative Support
  • Requires practical knowledge of job area typically obtained through advanced education combined with experience.


Desired:

  • Prefer Administrative Assistant Certification, Certified Administrative Professional, Microsoft Office Specialist or equivalent
