Title:                       Executive Assistant  

Unit:                       Behavioral Health Division 

Reports to:            AVP, Behavioral Health 

Status:                   Full Time; Regular; Exempt 

Salary Range:       $32.97 - 35.71 per hour [Approximately $60,000 - $65,000 annually]

Location:               Long Island City (with occasional travel throughout NYC) 

 

Position Summary: 

We are seeking a highly organized, proactive Executive Assistant to provide multifaceted administrative support to senior leadership, ensuring seamless operations within the Behavioral Health division. This individual will play a pivotal role in the division's overall administration, operations, and communications efforts. This is a high-impact, cross-functional role that combines executive assistance with interdepartmental collaboration. The ideal candidate is detail-oriented, tech-savvy, and comfortable handling both strategic tasks and logistical execution. 

 

Essential Duties and Responsibilities: 

 

  • Provide administrative support to the AVP of Behavioral Health, including calendar and email management, preparing meeting materials, and providing light touch support to the division’s senior management team; 

  • Coordinate executive-level communication, including taking minutes during internal and external meetings and teleconference calls, responding to emails, and interfacing with organizational partners, clients, and internal staff; 

  • Serve as a liaison between senior leadership and internal/external stakeholders, ensuring timely and effective communication; 

  • Conduct research on prospective funding opportunities in advance of proposal meetings and assist in the preparation of grant proposals and reports in collaboration with leadership; 

  • Handle coordination and follow-up of all internal and external communication and draft correspondence when necessary; 

  • Assist with the management of reporting deliverables for all contracts and accurately catalogue all major correspondence; 

  • Assist with revising or drafting program policies and procedures; 

  • Manage office supplies and equipment, ensuring efficient office operations; 

  • Help plan and coordinate organizational events, initiatives, and presentations and take the lead on special projects as assigned by AVP of Behavioral Health; 

  • Assume additional responsibilities as needed 

Qualifications

Qualifications: 

  • Bachelor's or associate degree preferred; or minimum of 3+ years of relevant administrative experience; 

  • Must have excellent written and verbal communication skills; experience with the grant writing process a plus; 

  • Exceptional organization, time management, and attention to detail; 

  • Tech-savvy with strong skills in Microsoft Office Suite and online collaboration tools; 

  • Diplomatic, discreet, and able to build trust with internal and external stakeholders; 

  • Mission-aligned, resourceful, and comfortable working in a fast-paced, growing team environment with evolving priorities.  

  • Experience planning and executing events; 

  • Ability to be a strong team player and willingness to work as part of a diverse team with shared responsibility and accountability;
