Reporting to the Director of Community Health, the Community Engagement Assistant provides essential administrative and operational support across multiple departments, including Philanthropy Development, Community Health, Communications, and Business Development. This position is critical in ensuring smooth day-to-day operations, accurate data management, and high-quality customer service while supporting organizational goals and community outreach efforts.
Essential Functions

- Process daily admissions and donation entries using designated database systems.
- Coordinates and distributes monthly mailings and reports.
- Provides outstanding customer service and support in planning and executing events.
- Maintains accurate inventory levels of supplies, materials, and marketing collateral; orders as necessary.
- Coordinates volunteers in support of community engagement initiatives.
- Provides general administrative tasks such as answering and routing inquiries, photocopying, laminating, data entry, and document preparation.
- Performs other administrative duties as assigned in support of team operations.
Other Job Functions
- Assists in special projects as needed in support of all community engagement efforts.
- Supports administrative tasks, including, but not limited to: letters, labels, scheduling of meetings, preparation and sending out of meeting agendas, contacting staff for items needed, setting up and preparing reports for team meetings.
- Sets priorities, takes initiative, and manages diverse responsibilities, as well as being able to think strategically, analytically, and creatively.
- Independently completes data entry accurately and timely. Re-checks work to be sure the document is error-free.
- Assists with and supports the agency with additional administrative functions, such as receptionist duties, upon request.
- Attends in-services/conferences required for position/program annually.
- Other duties as assigned.
Requirements
- Associates degree preferred, or equivalent combination of education and/or work experienced required.
- 2 to 4 years of administrative support experience
- Able to keep up-to-date technically and apply new knowledge to the position
- Computer competency including data entry skills with a high rate of accuracy
- Excellent time management and organizational skills
- Excellent verbal communication skills and phone etiquette
- Ability to handle multiple tasks at one time, prioritize and work independently
