Job Summary
Under supervision of the Operations Manager serve as A Clinic Lead, performing a variety of support functions including, but not limited to managing daily clinic flow. This position involves working closely with staff, patients, as well as the doctors who treat them. Managing day-to-day operations at the assigned practice location, providing assistance to staff/training, communicating directly with Operations Manager to accomplish set goals for the assigned practice, and ability to take direction and multi-task.
Essential Functions:
- Prepares open of practice day (ensuring all appointments run smoothly) and prepares close of practice day (closes exam rooms)
- Confirms scheduled patients have necessary paperwork and front office staff are aware of protocols which includes supporting front desk by helping check-in or check-out of patients
- Collaborates with staff and providers to ensure all necessary equipment and supplies are available
- Work with staff to organize, reschedule, and update changes made to schedules properly which includes side-by-side training where applicable
- Communicates information with physicians and update staff, leadership, EMR, etc. as applicable
- Performs drug and supply inventory and stocking – ensuring drug inventory logs are complete and sent
- Test patient’s far acuity, near acuity, peripheral vision, depth perception, visual field, and tonometry and enter into EMR. Dilate eyes. Perform Optical Coherence Tomography (OCTs) and Fundus Autofluorescence (FAFs)
- Room patients and assist doctor with numbing, rinsing, and procedure set up. Obtain and record new patient history and/or review established patient history. Scribe all results of exam in EMR as well as other pertinent information relayed by the patient and doctor
- Ensures accurate coordination of authorizations prior to scheduled procedures. Verifies and coordinates insurance eligibility and referrals for patients based on department requirements
- Verifies patient’s responsibility and benefits with subsequent notification to designated staff of issues
- Ensures daily huddle takes place and partners with the manager to address any issues within the clinic (patient, staff, or facility), patient relations and service recovery, manages site binder content. This may include updating Huddleboard and conduct morning huddle
- Subject Matter Expert (SME) for practice staff and providing tools necessary to be successful
- Communicate regularly and consistently with respective teams, identify gaps, and propose solutions; identify best practices and
- scale them
- Update pertinent patient information in MDI as appropriate as well as updating appropriate details in NextGen
- Sterilize equipment. Restock rooms and perform drug and medical supply inventory, ordering as needed
- Identify patients’ needs, clarify information, research issues and provide solutions and/or alternatives (as appropriate)
- Monitor staff activity in MDI and NextGen to ensure compliance of HIPAA regulations and Privacy Guidelines
- Updating task tracker, inventory spreadsheets, ordering logs, and any other tools assigned for practice location(s)
- OSHA Classification Category I - includes exposure to blood, bodily fluids, or tissues – must ensure compliance and adherence to regulations at all times
- Effectively communicate challenges, expectations, and/or updates while supporting documented policies and processes
- Build sustainable relationships and engage patients by going the extra mile
- Notifies required parties within the appropriate timeframe for routine and urgent requests for services
- Possess strong computer skills and the ability to maneuver multiple resources
- Assist Operations Manager in other areas as required
- Meet department/team qualitative and quantitative targets
- Comply with all HIPAA rules and regulations; obtain 2 patient identifiers with each interaction
- Other duties as assigned
