About the role

SUMMARY:        

This position is located at our Warwick, RI corporate office. Monday- Friday 9:30 AM- 6:00 PM.

Under the general supervision of the Manager and Lead Mammography Coordinator, along with the site manager, and according to established policies and procedures, is responsible for assisting in the work of the mammography department. Schedules and confirms appointments, gives directions, inputs data into patient accounts, discusses insurance and payment policies with the patients prior to the patient’s actual arrival. Interacts with the radiologist, referring physicians, staff, and patients as required.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Answer high volume of incoming calls and manage high volume of outbound calls in a prompt and courteous manner.

 

Schedule over 100 appointments for diagnostic/ screening mammograms, ultrasounds, and breast MRI’s. Book all follow-up appointments.

 

Schedule all Breast Biopsies for RIMI, while maintaining follow-up with all necessary paperwork. Help facilitate the scheduling of biopsies, communicate with patients all required preparation instructions, and follow up post biopsy phone call the next day.

 

Responsible for scheduling breast biopsy for abnormal results when instructed by radiologists.

 

Build patient accounts in electronic system and enter the patient demographic data manually and accurately.

 

Contact referring physician offices to obtain referral and request slip. Responsible for adding and changing exams as necessary.

 

Responsible for requesting and importing all third-party images from outside facilities into RIMI systems.

 

Troubleshoot and reconcile all missing referral slips for diagnostic appointments.

 

Process EMR slips manually for creation of RIMI appointment.

 

Coordinate workspace for radiologist to ensure smooth operation.

 

Continually sets the example of professionalism, flexibility, and high levels of patient care.

 

Additional duties and projects as assigned.

BASIC KNOWLEDGE:

Interpersonal skills to interface effectively with patients who may be under physical and/or emotional stress, referring physicians, staff, the Radiologist, and fellow employees.

Organizational and analytical skills to compile and interpret data.

Knowledge of medical office procedures.

EDUCATION:

High School degree or equivalent.  Graduate of a Medical Secretarial Science School a plus. 

EXPERIENCE:

A medical secretary with a minimum of two (2) years of experience.
