Purpose

Under limited supervision, the Senior Course Scheduler will work closely with academic departments to schedule classes and/or course-related programming, including updates and cancellations by coordinating data entry and proofing schedules using automated scheduling and registration systems.

Responsibilities

Course Curriculum Management

  • Work closely with academic departments and programs to update their portion of the Undergraduate and Graduate Catalog course inventory following established policies and deadlines.

  • Assist with and monitor curriculum flags, core and area proposals submitted by academic units for undergraduate courses.

Course Scheduling

  • Coordinate course offerings for three academic departments and work with faculty to produce and update their portion of the Course Schedule following established policies and deadlines. Monitor and/or develop and initiate enrollment strategy plans as needed.

  • Receive and process course schedule updates. Communicate schedules and updates with faculty.

  • Partner with Assistant Chair in planning course schedule for each semester and for each academic year.

  • Liaise with the McCombs Dean’s Office and the Registrar’s office to manage McCombs' process in alignment with the University’s processes.

  • Build effective and collaborative relationships with internal stakeholders from academic departments and business affairs for course scheduling.

  • Provide written, presentation, and oral updates to McCombs stakeholders and the University Registrar’s Office, adhering to strict timelines.

Institutional Reporting

  • Facilitate departmental compliance with various reporting systems, including FaSET (Faculty and Staff Electronic Tracking system), Syllabi/Faculty CV uploads, Course-Instructor Survey requests, and final exam reporting and scheduling.

  • Pull and analyze relevant reports from course and data management systems, recommending solutions where applicable.

  • Make room reservations for General Purpose Classrooms when needed for events and academic purposes.

Other related functions as assigned.

Required Qualifications

  • Bachelor’s degree and at least three years of experience performing administrative and/or programmatic functions

  • Excellent organizational skills

  • Proven ability to work in a complex structure supporting executive-level individuals

  • Ability to work well collaboratively or independently. Ability to meet deadlines and be self-directive with limited supervision.

  • Exceptional interpersonal skills and an ability to work collaboratively and effectively with others in a team environment

  • Able to come up to speed on new topics quickly, multi-task effectively, and produce high-quality work under time constraints

  • Knowledge of Microsoft Excel, Microsoft PowerPoint, and Microsoft Word processing software.

  • Flexible and able to adapt to changing timelines and circumstances when needed
