The Office Coordinator will support the day-to-day activities of the Kestra office by maintaining a healthy clean environment, ensuring supplies are available, and office equipment is operating properly. This Team Member demonstrates the ability to execute facility and administrative duties both independently and collaboratively with the appropriate sense of urgency. This position is responsible for the project management of all company events and social activities.
Requirements
ESSENTIAL DUTIES:
- Act as -point-of-contact for on-site and remote Team Members and external contacts. Communicate and respond in a timely and professional manner
- Coordinate and procure office supplies, food, and beverages for team kitchens, monthly team events, lunches, dinners
- General office management, including conference rooms, public meeting areas, printer/copier oversight, acceptance/distribution of mail/deliveries, and office supply management
- Local errands as needed
- Project management of team and corporate events
- Coordinate maintenance with property management team and external vendors
- Serve as Floor Warden for fire/disaster management
- Assistance with PowerPoint slide presentations
- Manage monthly budget and expense reporting
- General administrative support to People Operations team & CAO/General Counsel
- Communicate with whole company occasionally through newsletters, emails, and calendaring

QUALIFICATIONS:
Education/Experience Required:
- Bachelor’s Degree or equivalent experience
- Minimum six (6) months office coordination experience
- Demonstrated experience facilitating corporate events and activities
- Proficient in Microsoft Word and PowerPoint
- Experience with managing multiple competing priorities
- Excellent verbal and written communication skills
Preferred:
- One (1) year of office coordination or event management experience
- Experience with Microsoft Teams
- Valid Driver’s License
WORK ENVIRONMENT:
- Indoor open office environment
- Minimal noise volume typical to an office environment
- Extended/overtime hours when needed

PHYSICAL DEMANDS:
- Frequent repetitive motions that may include wrists, hands and/or fingers, such as keyboard and mouse usage
- Frequent stationary position, often standing or sitting for prolonged periods of time

- Frequent phone and other business machine use
- Occasional lifting required, up to 25 pounds
