About the role

Executive Assistant (Onsite - 5 days per week onsite in Irvine, CA)

Overview:

Weedmaps is looking for an experienced C-suite level Executive Assistant that will support several key leadership roles including the Chief Marketing Officer (CMO) and other leadership team members in the marketing and revenue organizations. This role will manage and perform detailed duties regarding many aspects of the work required in support of the positions, including maintaining and coordinating travel schedules, meetings and daily schedules, project execution, development and communications.

Additionally, this person will perform various duties as assigned by leadership which may include, but not limited to, leading and coordinating meetings and appointments, logistical arrangements using professional judgment and discretion, preparing communications to external entities with independent judgment, coordinating executive events, and other duties as assigned.

This position is required to be on site at the Weedmaps headquarters located in Irvine, CA.

The impact you'll make: 

  • Play a critical project management/analyst role on key team initiatives. That may include: shared ownership of team all-hands meetings, developing internal communications, management of shared information and resources on various platforms such as JIRA, Confluence, Google Drive, etc.

  • Act as a sounding board, confidant, and conduit keeping the executives well informed, facilitating leadership’s decision making

  • Be the team expert and lead the charge on general requests and questions, serving as keeper of team resources. The the glue between team members and tasks

  • Manage and stay in front of busy daily calendars, using  discretion, flexibility and independent problem-solving skills to adjust or prioritize schedules based on last-minute changes

  • Ensure leadership team readiness for meetings, researching, distilling, and compiling briefing documents 

  • Own the flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities

  • Act as the lead liaison with internal departments as well as represent the department, its leadership team, and their needs with internal stakeholders

  • Under leadership’s mentorship, communicate on their behalf by email, text, or chat, including  management of executive email inboxes to help respond, prioritize, and coordinate as necessary

  • In partnership with management, you will co-own team building and culture matters and serve as the barometer for team morale

  • You may attend staff meetings, take clear notes detailing decisions and follow-up items, and prepare summaries for distribution

  • Maintain and track manager and teams project list and goals

  • Arrange travel, manage itineraries, and facilitate expense reporting

What you've accomplished:

  • Superior independent judgment and trusted to make sound decisions with matters of significant importance and/or consequence, properly and proactively identifying the need for management input when necessary

  • Strong collaboration and  self-starter skills ,excelling in multitasking and thriving in a fast-paced environment

  • 5+ years of experience in handling confidential and sensitive materials with discretion

  • Ability to make independent, sound, real-time decisions with appropriate consideration of priorities, consequences, and stakeholders

  • Bachelor’s degree

  • 4+ years of experience supporting a C-Suite Executive 

  • Strong organizational, analytical and interpersonal skills and the ability to interact with a wide range of executive audiences and clients.

  • Excellent communication skills 

  • Excellent administrative skills.

  • Ability to juggle competing demands, prioritize and work with other team members at all levels within the company, especially executive levels.

Bonus Points:

  • Experience creating presentations for senior management, primarily on matters of formatting but also critical content

  • Project management

The base pay range for this position is $68,000.00 - $80,000.00
