Position Summary
Illumina is seeking a highly motivated and team-oriented Senior Business Systems Analyst to mature our software asset management and procurement processes. This includes negotiations, procurement, renewal, tracking, and disposal of software assets. This position maintains adherence to licensing agreements, optimizes software utilization, and oversees vendor relationships to ensure efficient and cost-effective management of software assets and procurement activities.
Responsibilities
Software Asset Management
- Develop and implement software asset management policies and procedures.
- Input new contracts and entitlements into the SAM tool, ensuring all terms and conditions are correctly mapped to our consumption.
- Maintain inventory accuracy in our SAM dashboards, providing real-time "Health Checks" on our top software spends.
- Ensure compliance with software licensing agreements and regulatory requirements.
- Conduct regular audits to verify software usage and compliance.
Procurement
- Manage the procurement process for software, including vendor selection, contract negotiation, and purchase order management.
- Collaborate with internal stakeholders to understand software requirements and ensure timely procurement.
- Evaluate and select vendors based on quality, cost, and service.
Vendor Management
- Act as a primary point of contact for software vendors account reps regarding license keys, portal access, and true-up data requests.
- Monitor vendor performance and address any issues or discrepancies.
- Negotiate favorable terms and conditions with vendors to optimize costs.
Financial Management
- Develop and manage the software asset budget.
- Track and report on software asset expenditures.
- Identify opportunities for cost savings and efficiency improvement
Requirements
- 5+ years in Software Asset Management, IT Asset Management (ITAM), or IT Procurement.
- Hands-on experience with ServiceNow SAM Pro, Flexera, or similar tools.
- Strong Excel skills (VLOOKUPs, Pivot Tables) for data normalization and analysis
- Strong knowledge of software licensing and compliance
- Excellent negotiation and vendor management skills.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage time effectively amongst multiple priorities.
- Experience working in a regulated environment within a global company (preferred).
- Exceptional knowledge of ITIL processes (preferred).
Education
- Bachelor of Science in Computer Science, Business, or related field preferred or equivalent work experience.

The estimated base salary range for the IT Software Asset Management Sr Analyst role based in the United States of America is: $98,400 - $147,600. Should the level or location of the role change during the hiring process, the applicable base pay range may be updated accordingly. Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data. Additionally, all employees are eligible for one of our variable cash programs (bonus or commission) and eligible roles may receive equity as part of the compensation package.
