JOB TITLE:   

Administrative Associate; Kinesiology and Health 

JOB PURPOSE:

The purpose of this position is to provide comprehensive administrative support to K&H, which includes the academic program, and federal, state, and other grant funded projects. This person coordinates the administrative support of faculty, principal investigators (PIs), and project staff; they will support the K&H director with departmental administration, stakeholder communication, event planning, travel, purchasing, and financial account management. This is the point person for the front office staff, so this person will supervise some office staff, work study students, and part-time workers. This position also works closely with the K&H Leadership team to support budget management, reconciliation, and projections.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Administrative Support to K&H: coordinates and executes the administrative support of K&H leadership, faculty, and staff. This includes project support, event planning, logistics, technical support, mailings, coordinating purchasing, and reconciling expenses in compliance with budgetary and policy guidelines. Excellent communication, organization, and follow-through are essential to success.
  • Support Budget Operations and Financial Management: assists CHS business manager, K&H leadership, and Project PIs in overseeing grant and departmental budgets, payroll, and fiscal activities. Supports the maintenance of financial record systems and databases and assists in process improvements of financial operations.
  • Manages course scheduling in Banner, assists with student registrations, and oversees academic evaluations to support the program operations of K&H. This person manages part time instructor hires, supports internship placements, and coordinates extra-curricular academic events. Provides support for K&H faculty Reappointment, Tenure, and Promotion process through WyoFolio.
  • Assist with establishing or revising policies, systems, methods and procedures; prepare related documentation including the design and implementation of computer programs, as appropriate.

SUPPLEMENTAL FUNCTIONS:

  • Review, recommend, and implement revisions to office policies, systems, methods, and procedures related to financial operations.
  • Attend meetings and coordinate activities with other departments and may act as liaison to departments and campus administration. 
  • Conduct special projects, as directed.
  • Serve as decentralized human resources (DHR) for the department.
