What You’ll Do:
- Provide warm, courteous greetings to all patients and visitors
- Manage multi-line phone systems and respond to messages across communication platforms
- Schedule, reschedule, and confirm patient appointments
- Prepare charts and support daily patient flow
- Accurately collect, post, and reconcile payments at check-in/check-out
- Ensure waiting areas remain tidy, welcoming, and comfortable
- Guide patients through the intake process: entering demographics, completing forms, scanning IDs
- Support product sales and patient education at checkout
- Submit fee tickets, manage batch reconciliation, and ensure end-of-day reporting accuracy
- Facilitate medical records requests per HIPAA regulations
- Distribute incoming faxes and internal communications
- Serve as the liaison between patients, staff, and providers to ensure timely care coordination
- Other front office tasks and projects as assigned by management
Qualifications
What We’re Looking For:
- 3+ years of prior customer service experience (medical or specialty clinic preferred)
- Experience in a plastic surgery or dermatology setting is a plus
- High school diploma or equivalent required; some college preferred
- Professional demeanor and communication style appropriate for a high-end medical office
- Strong written/verbal communication and computer literacy
- Proficiency in EMRs, scheduling platforms, and standard office software
- Detail-oriented with the ability to multitask and adapt to changing priorities
- Bilingual in Spanish a plus, but not required
- Demonstrated commitment to patient privacy and adherence to HIPAA/OSHA guidelines
