What You’ll Do:

  • Provide warm, courteous greetings to all patients and visitors
  • Manage multi-line phone systems and respond to messages across communication platforms
  • Schedule, reschedule, and confirm patient appointments
  • Prepare charts and support daily patient flow
  • Accurately collect, post, and reconcile payments at check-in/check-out
  • Ensure waiting areas remain tidy, welcoming, and comfortable
  • Guide patients through the intake process: entering demographics, completing forms, scanning IDs
  • Support product sales and patient education at checkout
  • Submit fee tickets, manage batch reconciliation, and ensure end-of-day reporting accuracy
  • Facilitate medical records requests per HIPAA regulations
  • Distribute incoming faxes and internal communications
  • Serve as the liaison between patients, staff, and providers to ensure timely care coordination
  • Other front office tasks and projects as assigned by management

Qualifications

What We’re Looking For:

  • 3+ years of prior customer service experience (medical or specialty clinic preferred)
  • Experience in a plastic surgery or dermatology setting is a plus
  • High school diploma or equivalent required; some college preferred
  • Professional demeanor and communication style appropriate for a high-end medical office
  • Strong written/verbal communication and computer literacy
  • Proficiency in EMRs, scheduling platforms, and standard office software
  • Detail-oriented with the ability to multitask and adapt to changing priorities
  • Bilingual in Spanish a plus, but not required
  • Demonstrated commitment to patient privacy and adherence to HIPAA/OSHA guidelines
