The Women, Infants, and Children (WIC) Office Assistant 2 primarily manages front reception desk operations, including screening applicants for program eligibility, scheduling and rescheduling appointments, checking participants in and out, answering inquiries, documenting transactions, issuing food benefits, and preparing official correspondence.  The incumbent utilizes critical thinking skills to resolve administrative issues at the front desk, delivers supplemental telephone support, collaborates effectively with team members, and maintains exceptional customer service standards across all interactions.  Furthermore, the position fosters a professional environment grounded in respect, trust, and cultural competence to serve the diverse populations engaging with the Health Department.  This position requires the ability to read, write and speak in English and either Dari, Arabic, Haitian/Creole, Spanish, Somali or Cantonese, along with knowledge of and experience with the Dari, Arabic, Haitian/Creole, Spanish, Somali or Cantonese community(s), culture(s).  This is a part-time (0.5 FTE) Limited Duration position assignment.

As the Office Assistant, you will: 

  • Facilitate participant intake by greeting clients using Participant Centered Services, screening for identification, residency, and income eligibility per State WIC policies, and accurately maintaining participant records

  • Issue food benefits to participants and assist them with any questions or issues regarding the use of these benefits

  • Manage front desk workflow, maintain clinic forms, and communicate effectively with staff to ensure smooth daily operations

  • Manage daily clinic logistics, including inventory checks, eligibility verification for the Oregon Health Plan (OHP), processing incoming faxes and messages, and completing routine audits and reporting

  • Coordinate participant correspondence by sending appointment reminders, graduation and termination notices, and processing voter registration and lost/stolen forms using established technology systems

  • Participate in staff meetings, assist in the orientation and training of new employees, and maintain positive, effective communication with supervisors and coworkers

  • Provide all services in a culturally sensitive manner, leveraging language proficiency (Dari, Arabic, Haitian/Creole, Spanish, Somali, or Cantonese) and community-specific cultural knowledge to support diverse populations

  • Utilize the WIC computer system to accurately document all participant interactions and appointments

  • Participate in outreach events, and participate in committees or work groups
