Senior Workplace Coordinator

Senior Workplace Coordinator will play a crucial role in creating welcoming atmosphere across dedicated office, and delivering outstanding service for both our colleagues and visitors in every facility related area.  The successful candidate should ideally have 2-3 years of professional experience in the area of facility, and solid understanding of Facilities world gained preferably in dynamic, international environment.

You’ll spend time on the following:

• Overseeing storage and courier services
• Being an expert in dedicated area, PO contact for colleagues and stakeholders
• Covering for regional manager when they are out of the office
• Having a full understanding of MSA's (Master service agreement) and SOW's (statements of work) and can execute aspects if not the whole of the process with little guidance from Regional Manager
• Coordinating with vendors and work with them to get them on boarded into the Coupa system
• Being responsible for day to day front of house/reception duties as well managing employee services
• Being able to fulfill the required physical tasks carried out on a regular basis
• Supervising vendors to ensure they are delivering satisfactory results based on contractual obligations with Groupon.
• Liaising with service providers and contractors to ensure regular activities are undertaken e.g. recycling, courier services
• Assessing office utilization of regularly ordered inventory and create a monthly consumption report and prepare a budget analysis
• Evaluating current needs of the office and have a basic understanding how to develop an action plan
• Suggesting potential process improvements

We’re excited about you if you have / you are:

• 2-3years of relevant or professional experience; a plus if gained in dynamic, international environment
• Good communicator who demonstrates strong customers focus, able to establish and maintain professional relationships with colleagues and stakeholders
• Fluent English – written and spoken
• Good understanding of the policies within the company and department, ability to use them effectively and efficiently while performing day to day tasks
• Ability to comply with any Special Economic zone guidelines and ensure proper documentation is completed and maintained.
• Intermediate knowledge with the following Software and tools: Google suite & Microsoft suite as well as familiar with Freshworks (or other ticketing software, Smartsheets ( or similar project management software, Coupa (or other procurement based software) - if not familiar must be willing to learn
• Ability to identify challenges proactively and seek for solutions
• Can evaluate and assess current needs of the office and have a basic understanding of how to develop an action plan

We work in a hybrid model (2 days per week in the office, 3 days remotely).

We are offering a six months contract.
