Job Description

WHAT YOU WILL DO:

Provide high level administrative support for one or more executives of the organization at the highest executive level.   Project a professional company image through in-person and phone interaction. Exercise discretion and judgment regarding highly confidential internal and external communications and within generally defined practices and policies.

PRINCIPAL RESPONSIBILITIES (*denotes essential functions as defined by ADA)

  1. Provide diverse and advanced administrative duties for executive and provide support to department as required.
  2. Make administrative decisions, handle correspondence, maintain calendar.
  3. Coordinate domestic and international travel arrangements and meetings.
  4. Serve as a liaison with the public; internally and externally, as required.
  5. Maintain highly confidential divisional/corporate files and records, and process associated documentation.
  6. Handle details of a highly confidential and critical nature and makes high level contacts of a sensitive nature inside and outside the company.
  7. May have project administration responsibilities.
  8. Receive corporate visitors and business executives and make their travel arrangements in addition to that of supervisor.
  9. Gather, assemble and analyze information from a variety of sources to prepare reports, agendas, correspondence and memoranda using appropriate software.
  10. Coordinate, create, edit and assemble information for use in reports, discussions, meetings and presentations and provide assistance with graphs, tables and charts.
  11. Screen publications for news of interest to executive.
  12. Assist with special events planning.
  13. Interpret and communicate operating policies.
  14. May take, transcribe, and distribute minutes and facilitate high level meetings.

INTERACTION

Interact with all levels of management and associates both domestic and international.  Daily interactions with key international executives requiring tact, diplomacy and discretion. Communicate with a wide variety of administrative and professional associates within and outside the company. Coordinate departmental issues with other company functions.

Qualifications

EXPERIENCE & BACKGROUND: 

  • Associates degree and 5 years administrative experience supporting executive; or High school grad (GED) and 10 years experience supporting executives 
  • Experience with calendar management, meeting and event planning, preparation of presentations, expense report administration, organizing events
  • Broad experience, skill and knowledge of Company policies and practices
  • Excellent computer skills including but not limited to Teams, PowerPoint, Excel, Word, and Outlook.
  • Strong mathematical and logical skills
  • Excellent organizational skills and ability to work independently
