About the role

SUMMARY:

We are seeking an Asset Coordinator II to join our GEICO Procurement Team. Key responsibility include- procuring Information Technology (IT) equipment and supports effective equipment life cycle and financial management of equipment approved for purchase.

RESPONSIBILITIES:

  • Responsible for the timely and accurate payment of IT hardware, software, telecom, and services of leased, purchased, and capitalized products, property tax, freight tax, and/or sales tax invoices. Contact vendors to resolve billing discrepancies.  Processes supplier invoices to facilitate payment. Handles the location report and quarterly bill for leased assets under purview.

  • Prepares and processes purchase and lease orders for IT assets, within established service level agreements, for requests resulting from the IT procurement system.

  • Reviews product pricing and availability with multiple vendors to ensure GEICO consistently obtains the most competitive terms. analyzes vendor quotes. recommends suppliers with whom orders are to be placed.

  • Demonstrate effective communication to customers through a variety of methods, including but not limited to email, WebEx, and phone calls. Questions should be addressed in a timely manner with thorough response. Cross training with the team to ensure coverage during quarter ends and PTO. Communicate any impediments to management and USE the escalation process to drive tasks to completion.

QUALIFICATIONS:

  • Remedy Ordering Process – place, cancel, check status, receipts

  • Remedy Asset – search, add, update, and modify configuration items

  • Workday Financials – invoicing, supplier name change, PO balance, payment status

  • Workday Asset –understanding of new workflow and processes and ability to articulate roadblocks or recommend process changes during design and testing

  • Procurement Process – knowledge of our process and ability to independently communicate steps with stakeholders

  • Microsoft Office – Excel, Word, Power Point to create, edit, and modify documents

  • WebEx – ability to join meetings and share desktop and camera

  • Advises associates on utilization of the overall IT Asset Management Program by explaining best practices and answering questions.

  • Obtain certifications of acceptance.  Conducts asset check against invoice for purchased and leased items to ensure leasing company’s asset tracking is synchronized with GEICO’s asset tracking.

  • Obtains leasing paperwork and prepares DocuSign package to include justification memo, signature pages, calculation spreadsheet, and supporting documentation.  analyzes paperwork for accuracy against established lease agreement awarded for the period.

  • Hybrid – 3 days/week

    • Chevy Chase, MD preferred
