The Project Coordinator & Executive Assistant, Chief Innovation Office (CIO), Danaher Diagnostics (P3), is responsible for serving as the operational bridge between the Chief Innovation Office’s program management and operations team and the procurement, contracting, and administrative systems that support it. This role drives significant impact by reducing the paperwork and process burden on program managers—streamlining procurement and NDA/contracting turnaround times—while also providing executive support for two to three senior leaders within the CIO.

This position reports to the VP Execution & Process Excellence and is part of the Program Management team and will be fully remote, with required on-site travel for 2-day leadership meetings at various locations every other month.

In this role, you will have the opportunity to:

  • Own end-to-end tracking of procurement processes—including invoice management, supplier onboarding, and vendor communication management, establishing metrics and dashboards that drive measurable improvement in turnaround times, partnering closely with the Procurement function to resolve bottlenecks.

  • Partner with Legal to streamline NDA and contracting workflows through the contract lifecycle management system, tracking status and driving down cycle time on routine agreements while also ensuring compliance with uploading files to existing electronic documentation repository systems for quick retrieval of prior agreements.

  • Serve as the central point of accountability for procurement and contracting paperwork for the CIO, inclusive of supporting Healthcare Provider (HCP) onboarding processes, reducing administrative burden on program managers and providing proactive visibility into cross-functional process status.

  • Manage calendar coordination, expense reporting, travel logistics, and event/meeting planning inclusive of onsite support for the bi-monthly CIO leadership team meeting, collaborating effectively with other executive assistants and program managers as required

  • Identify recurring process friction points across procurement, contracting, and program operations, and lead the implementation of process improvements consistent with the Danaher Business System (DBS).

The essential requirements of the job include

  • Bachelor’s degree with 5+ years of experience in project coordination, project management, or business operations, including direct experience with procurement and/or contract management processes and systems.

  • Experience providing executive-level administrative support with a demonstrated ability to multitask, manage shifting priorities, deliver quickly, and adapt to changing demands in a fast-paced, dynamic environment.

  • Demonstrated experience tracking metrics and turnaround times and driving process improvement with cross-functional partners such as Procurement or Legal.

  • Proficiency with contract lifecycle management (CLM) and/or procurement systems.

  • Demonstrated leadership and communication skills with the ability to influence and partner effectively across functions without direct authority while being proactive and attentive to detail.
