JOB DESCRIPTION AND POSITION REQUIREMENTS:

The College of Earth and Mineral Sciences (EMS) seeks an innovative, forward-thinking professional to join our inclusive and collegial team in the Ryan Family Student Center (RFSC), serving as the Administrative Support Coordinator V (ASC 5). The RFSC is the home for undergraduate activities in the College—academic advising and tutoring, a computer lab and café, studying and collaborating—it’s a busy and exciting place. The successful candidate will report to the senior associate dean for undergraduate education and serve as the primary College contact for all University undergraduate academic administrative procedures and policy compliance.

Duties include but are not limited to:

  • Processing Faculty Senate petitions

  • Coordinating academic integrity cases

  • Approving students for graduation, and directing the college’s spring commencement

  • Managing unit budgets and participating in strategic planning

  • Coordinating and organizing logistics related to undergraduate engagement experiences supported by the college, including EMSC courses and the TEEMS program

  • Ensuring an environment that supports diversity and positive communications

  • Supervising the work of unit staff and ensuring the unit excels in customer service to internal and external clientele

  • Serve as the College’s student data area security representative (ASR), and support and collaborate with the senior associate dean as well as the rest of the RFSC faculty and staff

The successful candidate will also work with the college human resources (HR) office to facilitate HR actions such as job vacancy postings, appointments, terminations, promotions, performance, and others; and will manage personnel database and confidential personnel files.

The ASC 5 works independently on complex projects and must have outstanding communication skills, particularly in the areas of writing and speaking.  The position requires proficiency with LionPATH, SIMBA, Adobe products, and the Microsoft Office suite, among others. The position must work with unit budgets with knowledge of University electronic systems and policies, including fiscal year planning, salary distribution, funds disbursement, and approving unit expenditures. The ASC 5 must possess knowledge of University student policies, and execute authority with confidentiality, sensitivity, and sound judgment in dealing with Senate petitions and Academic Integrity issues.
