About the role

The COO Chief of Staff role (CoS) will play a critical role in the daily management of all aspects of the Office of the COO. Based in Boston and reporting directly to the COO, the CoS will act as the central point of coordination across the division globally, providing management support and will be responsible for engaging all business management functions for daily execution and delivery.  In addition, the CoS will be the conduit of key business and company information flow to the various COO functions (e.g., Global Delivery, Information Technology, etc.), as well as to the supporting corporate functions.  

 

This CoS role will include strategic, operational, project and administrative responsibilities across the COO’s senior leadership team.  The CoS will be in charge of developing and implementing performance management tools and supporting the COO organization governance.  The role will provide an opportunity to work across the COO organization including all business operations, technology, vendor management, transformation, and global hubs (Poland, India, and China) to help driving results, support strategic initiatives, improve processes, foster collaboration and alignment, and achieve more efficient operational performance. 

 

As a key influencer in enabling the COO ability to execute on his priorities, the CoS will be highly resourceful, self-motivated and possess strong communication, project management and analytical/financial skills.  The ideal CoS will have a combination of focus and adaptability and display an eagerness to collaborate on a wide variety of tasks. The individual will also possess a high level of personal and professional integrity and sound judgment. 

 

Responsibilities :

 

Business Management of COO organization 

  • Support the COO to set strategic and operational objectives that achieve State Street’s strategic priorities, ensuring that the COO organization is meeting or exceeding financial and performance benchmarks/KPIs. Tracks performance against these objectives, identifies any risks to plan, and works with senior leadership team to plan and execute mitigation strategies and initiatives 
  • Serves as key member of the COO’s leadership team; attends COO senior management meetings and drives agenda items; coordinates follow up with stakeholders to ensure execution of agreed-upon actions and effective flow of relevant information across the leadership team.   
  • Acts as representative / proxy for the COO on necessary regional and global operating committees, as well as external meetings as necessary 
  • Drives development and production (in partnership with COO leadership) including developing and leveraging productivity / efficiency management information systems as well as success metrics dashboards, as well as the necessary data sources, design, and management to fully realize them 
  • Builds strong relationships across the COO Executive Leadership team and their leadership teams and the boarder organisation to drive an array of strategic initiatives and executive asks 
  • Manages a small team effectively driving quality deliverables and attention to detail to all of the team’s work products 
  • Partners closely with the COO’s Executive Assistant – ensures requested meetings are booked, follow-ups are closed out and ad-hoc items are addressed in a timely manner (in addition to other standard, regular meetings) 

 

Strategic Initiatives (SI) 

  • Coordinates projects/initiatives and commitments directly involving the COO’s key priorities, in partnership with other key members of the COO leadership team and in collaboration with stakeholders across the broader firm 
  • Partners with COO executive and senior management to actively identify and implement process changes, offering clear direction and guidance to management teams on global initiatives.  Identifies underperforming groups within the organization for the creation and oversight of remediation plans through to completion 
  • Leads ad hoc, strategic, and tactical efforts by effectively leading projects across multiple areas: risk, business strategy, transformation, and cross-functional initiatives 
  • Strong contributor in developing and maintaining a risk and control culture across all regions 

 

Education & Preferred Qualifications 

 

  • Minimum of 15 years professional experience, including in a large, global financial services firm 
  • Strong outcome-oriented mindset and ability to break down barriers to achieve strategic goals 
  • Extensive experience with senior and executive management and/or board reporting, preferably in financial and/or technology services 
  • Experience interfacing at a senior level with clients, service providers and regulators 
  • 10+ years of experience in leading global teams, including proven track recor
