Job Summary The Administrative Assistant functions as the functional hub of the Ministry Formation Department and collaborates in the implementation of the Internship program for Masters-level students. The Administrative Assistant assists students in all phases of the internship program: preparing for internships, registering and onboarding, progressing through the course and field work, and completing the internship through the exit process. The ideal candidate must have both administration skills and people-skills to help create a positive experience and environment for students in DTS internship courses. Duties/Responsibilities- Answer email/phone/voicemail in a timely manner
- Maintaining Internship Coordinators’ Calendars
- Scheduling Student Appointments
- Maintaining Course Rosters and Enrollment Spreadsheets
- Reconciling student Rosters with Canvas
- Assist team in Canvas cloning and curriculum revision each semester
- Using outside evaluation system (Prism)
- Completing Student Registration Documents
- Entering Grades at the end of each semester
- Uploading Syllabi to Simple Syllabus, each semester
- Maintaining records and filing documents in Anthology
- Prepare sign-up sheets for EXIT Interviews and Live-Groups
- Assist in events hosted the Ministry Formation Department
- Assist with other administrative tasks as needed
Qualifications
Required Skills/Abilities:- Collaborative approach to ministry—ability to work with a diversely gifted team to accomplish shared ministry objectives
- Strong written and verbal communication skills
- Proven self-discipline and administration skills
- Competence with technology skills: including Canvas, Adobe, MS Teams, MS Office, Anthology, Paycom, and Prism.
- Ability to handle confidential information appropriately (FERPA-compliance)
- Ability to change and adapt to new processes during seasons of Seminary growth.
- Bachelor’s degree preferred.
- Familiarity with DTS culture preferred
- Proficiency in Microsoft Office Suite, including Word, Excel, Teams, and Forms
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
