Job Title: Patient Representative
Status: Full-time, year-round; Benefits Eligible
Classification: Non-Exempt - Hourly
Location: Vail, CO - this role requires you to be onsite
Schedule: Monday - Friday; shift dependent on business needs
Pay Range: The entry pay for this position is $22.00/hour and is dependent on experience. Entry pay will increase from this base rate based on health care or applicable customer service experience.
POSITION OVERVIEW
The Front Desk Patient Representative is responsible for greeting patients kindly, all administrative processing of every patient, and maintaining a clean and welcoming waiting room. This position requires an excellent communicator who is comfortable with interacting with individuals representing all professional levels. This position will also generate and manage correspondences as directed. Performs front desk duties for the clinic: answers phones, directs calls to appropriate department, greet patients in a friendly & helpful manner, assists patients with questions and/or concerns and determines whether unscheduled visitors should be given access to specific individuals. The Patient Representative is an entry/lower to mid-range roles, where an employee operates with oversight, though potentially limited, especially on advanced tasks with high impact on patient care. CORE RESPONSIBILITIES
- Number of hours scheduled, week over week, are dependent on business needs; you will have an opportunity to work overtime as needed, and you may be asked to clock out early (or clock in later) if not needed based on business volume.
- Your scheduled location may vary depending upon business needs. If required to work at a location alternative to your “home base” you may be eligible for mileage reimbursement per company policy.
- Basic assistance helping to train new employees for the department, as expertise is gained.
- Checking patients in and out: ensure registrations and required forms are complete and updated, insurance cards & drivers licenses are current and scanned, and schedule follow- up appointments if required.
- Process payments to the clinic: input patient charges on a continual basis, collect and record payments and payment information, balance cash drawer and prepare and reconcile daily deposit funds; use correct procedure to document and report any discrepancies. Settling daily balances and saving in the company drive under batches.
- Collect on past due balances, copays, and private pay accounts, start payment plans if necessary.
- Obtain, secure and ensure sufficient cash denomination to provide change; responsible for safekeeping of all change funds and revenue collected during the day.
- Depositing monies at the bank at least once a week (as required by specific location needs).
- Check all clinic schedule(s) the day prior and make detailed notes as to who needs paperwork, updates, and which patients have a balance or copay to collect.
- On a daily basis, manages all correspondence for the clinic: distribute if any incoming mail, facsimiles, interoffice mail and special deliveries. Checking and returning all messages, replying to emails.
- Maintains overall organization and physical image of the waiting room through the day, ensures refreshments for patients are stocked and available.
- Making sure that all business cards are stocked in patient rooms& front desk.
- Assists manager with training new staff members in the role including but not limited to shadowing, answering questions, assisting with patient conversations, checking for understanding/errors.
