About the role

Description

The Accounts Payable Coordinator is responsible for managing a variety of accounting and bookkeeping processes and transactions. This includes running accounting software programs to process accounts payable transactions.


This position will report to the Controller and is an on-site position located at the Planet Aid Cooperate office in Milford, MA.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage Accounts Payable flow for multiple business units. Including reviewing and coding invoices, submitting invoices for approval, then electronically filing them for payment
  • Work with staff to resolve issues related to accounts payable invoices and acquire the required approvals
  • Contact vendors to resolve any invoice discrepancies and provide payment details
  • Review and reconciling invoices to prepare for weekly disbursement
  • Reconcile vendor accounts
  • Manage and organize multiple email accounts
  • Support the annual audit as needed
  • Act as backup for Accounts Receivable and credit card program
  • Assist the department with special projects and implementation initiatives
  • Verify W-9s on the IRS/SAM.gov websites for all new vendors and site hosts.
  • Manage all state reporting filing requirements
  • Complete all state unclaimed property filing requirements
  • Other duties as assigned

Requirements

EDUCATION and/or EXPERIENCE:

Associate’s Degree and a minimum of 3 years of proven experience in an accounting support role, preferably in accounts payable. Additional experience will be considered in lieu of education.


COMMUNICATION: Excellent communication (verbal and written), interpersonal skills, and the ability to work effectively with, and at, all levels throughout the organization. English fluency is required.


OTHER SKILLS and ABILITIES:

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Excellent attention to detail and accuracy in paperwork and accounts payable processing.
  • Proficiency in using office software, including MS Office (Word, Excel, PowerPoint), email clients, corporate credit card processing, and accounting systems.
  • Strong written and verbal communication skills, with the ability to communicate professionally and effectively with internal and external stakeholders.
  • NetSuite and invoice processing experience strongly preferred.
  • Strong ethical conduct and commitment to maintaining confidentiality of sensitive information.


WORK ENVIRONMENT:

This position will be housed on-site in the Planet Aid corporate office in Milford, MA, and will not be a remote or hybrid position.
