Position Summary: 

The Director of Facilities, reporting directly to the CEO, will oversee facility operations across all University Settlement Society (USS) locations. This includes NYCHA properties and leased spaces. The role involves supervision, compliance, capital improvement planning, and emergency response readiness. 

 

Key Responsibilities: 

  • Oversee and manage all facility operations across USS sites, including NYCHA buildings. 

  • Directly supervise Building Supervisor and assist with planning and managing the maintenance and security staff work schedules, time-off requests, performance evaluations, and adherence to proper maintenance procedures. 

  • Partner with leadership (Associate Executive Directors, Chief Program and Equity Officer, Senior Directors, etc.) to identify and resolve facility concerns. 

  • Create, manage and update vendor relationships, solicit contractor bids, and coordinate facilities projects. Maintain a diverse and inclusive vendor list with a focus on ensuring Minority and Woman Owned Businesses (M/WBE) are represented. 

  • Ensure timely payments for services, projects and materials and collaborate with the Finance team on administrative and budgeting tasks. 

  • Foster relationships with NYCHA property managers and property owners of rental spaces to address services owed, and responsibilities are handled timely.  

  • Assist CFO with capital improvement planning and budgeting (determining the scope of work, identifying contractors, ensuring appropriate permitting, and assisting with proposals). 

  • Coordinate with the People Department and managers to manage employee relations issues, interviews, hiring and providing appropriate training for employees. 

  • Assist with scheduling routine and preventive maintenance of grounds, buildings and systems Mechanical, Electrical and Plumbing equipment (MEP). 

  • Manage office moves, renovations, furnishing, and storage logistics. 

  • Facilitate and document staff training on safety protocols and building codes. 

  • Lead and/or participate in bi-weekly facilities team meetings. 

  • Provide staffing support for special events, projects and during inclement weather to ensure operations are uninterrupted. 

  • Purchase supplies as necessary for building operations from suppliers, vendors, and contractors, and maintain an inventory control system for equipment and supplies. 

  • Oversee and assist in repairs to include but not limited to carpentry, patching, painting, and plumbing. 

  • Manage special projects as assigned.
