Job Title: Part-Time Staff Assistant

 

Job Summary: We are seeking a reliable and organized Part-Time Administrative Assistant to support the daily operations of our office. This role will involve providing front desk coverage, managing office supply orders, handling maintenance tickets, accepting and processing deliveries, and performing other ad hoc tasks as needed. The ideal candidate is proactive, detail-oriented, and able to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities:

  • Front Desk Coverage:
    • Greet and assist visitors and clients in a professional and friendly manner.
    • Answer and direct phone calls, emails, and inquiries to the appropriate departments or staff.
    • Maintain a tidy and welcoming reception area.
  • Office Supplies & Deliveries:
    • Monitor inventory levels and order office supplies as needed to ensure smooth daily operations.
    • Receive, process, and distribute incoming deliveries and mail.
  • Maintenance & Facilities Support:
    • Submit and track maintenance tickets for office equipment and building issues.
    • Coordinate with vendors and service providers to ensure timely completion of maintenance requests.
  • Ad Hoc Tasks:
    • Provide general administrative support to various departments as needed, including filing, data entry, or other tasks.
    • Assist with organizing and preparing for office meetings or events.

Requirements:

  • Proven experience in an administrative or office support role.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Excellent verbal and written communication skills.
  • Ability to work independently and handle unexpected situations efficiently.
  • Flexible and adaptable to changing priorities and tasks.

Schedule:
This is a part-time position requiring approximately 25 hours per week, with some flexibility to cover additional hours as needed.

 

 

Required Qualifications at this Level

Education/Training

 

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a related business field.

 

Experience

 

Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
