JOB DESCRIPTION AND POSITION REQUIREMENTS:
We are searching for a highly experienced administrative professional who is proactive, team oriented and customer service focused to join our newly formed Information Dominance Office in the Applied Research Laboratory (ARL) at Penn State. ARL/Penn State’s purpose is to develop innovative solutions to challenging national problems in support of the Navy, DoD, and Intel communities engineering and technology needs. As the Administrative Support Manager, you will manage the operational activities of the office including setting priorities, supervising the Administrative Assistants across several divisions and supporting the Program Finance Manager in various reports and financial tasks.
You will:
- Manage, direct, and oversee general administrative functions and activities of Information Dominance, Program Management Group, and other assigned senior leadership positions
- Perform complex, and confidential administrative duties and responsibilities in support of the office
- Monitor human resources, security and facility processes and documentation to ensure deadlines are met
- Lead and supervise the administrative staff including overseeing departmental hiring, training, and evaluation of assigned support staff, setting the standard for professional behavior, effectively communicating roles and direction, and ensuring competency throughout the administrative ranks
- Manage the administrative workload and workflow for the office including prioritization, generating solutions, improving efficiency, meeting deadlines, and ensuring compliance
- Manage assigned projects; develop work plans, oversee project phases to ensure effective and efficient workflow
- Coordinate, prioritize and maintain schedule and calendar of meetings, appointments and special events for the office in multiple calendars across offices and including government sponsors
- Coordinate with facilities in managing moves and repairs
- Oversee departmental hiring and training including required monthly compliance
- Support the Information Dominance Director in creating PowerPoint presentations as well as office memos, announcements, and internal publications
- Update Information Dominance’s Homepage and Intranet pages
Minimally requires and Associate’s degree plus 8 years of related experience (including 3 years of supervisor experience) or an equivalent combination of education and experience.
Required skills and experience include:
- Proficiency in Microsoft Office (PowerPoint, Word, Outlook, and Excel)
- Prior supervisory experience
- Outstanding team building, communication, and writing skills
- Demonstrated excellence in personnel, program and financial management
- Familiarity with compo
