Job Description:

Under limited supervision, assists the Air Quality Construction Permit Team (CP), Air Quality Operating Permit Team (OP)) and Waste Construction Permit Team (WC) by reviewing and processing incoming and outgoing documents. Retrieves/references information for users. Maintains logs and indexes to provide status of information and accurate retrieval. Provides customer service to the public and agency staff including assisting teammates respond to public requests.


 

Job Duties: 

  • Receives incoming mail and/or documents from Records Department and routes them to appropriate staff. 
  • Assigns an application tracking number for all incoming applications, then updates information in IIS and on appropriate CP, OP and WC tracking systems and reviews each application for administrative completeness. 
  • Maintains IIS and CP, OP and WC tracking systems and ensuring each is up to date. 
  • Reviews all draft permit documents prior to public comment for grammatical errors and formatting, then prepares draft documents for public comment. 
  • Prepares final permit documents for Environmental Manager’s review and signature, then emails/mails signed permit documents to the permitted facility.
  • Provides relief for the agency’s primary receptionist. Answers and directs incoming phone calls on agency’s primary phone lines. Provides information and communicates messages.
  • Reviews work activities and recommends potential procedure changes that may improve operational effectiveness.
