About the Opportunity
JOB SUMMARY:
The Administrative Assistant at the Office of Prevention and Education at Northeastern (OPEN) will be a member of a collaborative team responsible for prevention, education, and training related to: alcohol and other drugs, sexual violence, sexual health and other wellness-related initiatives for the Northeastern University student community.
RESPONSIBILITIES INCLUDE:
- Providing professional administrative support to the Office of Prevention and Education at Northeastern.
- Supporting the operational function of an office that handles sensitive topics and high-profile network wide initiatives with a professional welcoming manner in all communications (telephone, e-mail, written correspondence) and in-person contact.
- Overseeing a variety of administrative projects and provide administrative support to the office
- Communicating on substantive matters with internal and external constituencies including senior university administrators, faculty, staff, students and parents; organize invoices and support budget reconciliation
- Tracking attendance for major programs and produce reports
- Scheduling and coordinating meetings
- Supporting administrative tasks for major OPEN programs and initiatives, such as bystander intervention education and sexual health programming.
MINIMUM QUALIFICATIONS:
- Bachelor's degree and 1-3 years of administrative experience preferred
- Strong organizational and interpersonal skills
- Ability to communicate professionally and effectively with people at all levels of the organization as well as with external constituents
- Experience working with young adults or college-aged population preferred
- Works exceptionally well with diverse groups, including international populations, those identifying as BIPOC and LGBTQ, and other under-represented populations
- Ability to make decisions independently, to exercise discretion and good judgment in areas of responsibility; a successful candidate will be comfortable taking initiative, but also knows when to ask for help
- Experience in handling confidential materials, and handling sensitive situations in a calm, thoughtful and professional manner
- Strong proofreading, attention to detail, and follow-through skills
- Proficient in Microsoft Office Suite—especially Excel, Word, PowerPoint, Teams, and Outlook; familiarity with Salesforce, WordPress, Qualtrics and Canva preferred; must be able to learn new applications and independently troubleshoot.
