Unique Skills:

We are seeking an Administrative Associate to provide top-tier support for our team. As part of a tight-knit, creative, and analytical group of engineers, the ideal candidate will take ownership of administrative functions and help elevate our mission to develop the safest and most advanced business aircraft. This role is crucial in maintaining seamless operations in a fast-paced, high-volume environment where attention to detail and adaptability are key.

 

Responsibilities:

  • Comprehensive Administrative Support: Manage travel logistics, expense coordination, and document preparation for the entire team, ensuring nothing gets missed.
  • New Hire and Consultant Onboarding: Oversee onboarding processes, including hardware/software requests and seating arrangements.
  • Financial Coordination: Reconcile accounts, prepare non-salary budget reports, and liaise with finance and legal teams on contract agreements.
  • Meeting & Event Coordination: Organize internal and external meetings, manage group calendars, and provide logistical support for large events, including catering and facilities requests.
  • Technical Proficiency: Utilize Microsoft Office, SAP Concur, and other specialized software to manage administrative tasks efficiently.
  • Special Projects: Lead special initiatives, streamline processes, and contribute to cost-saving efforts by eliminating non-value-added tasks.

  • Communication: Strong written and verbal communication skills, with proficiency in grammar, composition, and customer-facing interactions.
  • Team Player: Collaborative and adaptable, comfortable liaising between team members and external partners while maintaining confidentiality and professionalism.
  • Technical Acumen: Expertise in Microsoft Office applications (Outlook, Excel, Teams, Word) and other software to include SAP Concur and PowerBI. Adobe Creative Suite experience is a plus.
  • Initiative & Flexibility: Ability to work independently, adapt to changing priorities, and take initiative in enhancing departmental operations.

 

Preferred Experience: Working as a Senior Administrative Assistant, Office Coordinator, or Business Analyst role supporting a large team.


 

 

Education and Experience Requirements

High School Diploma or GED required. Six years demonstrated administrative experience is required.. Extensive experience in administering documentation systems and complex office administration is required.. The use of sophisticated office equipment and software is required.. PC literacy is necessary as well as demonstrable proficiency in grammar, spelling, typing, composition and math. Addtl education demonstrating continued learning and growth in the job is required.. An AA/AS degree is desirable.

Position Purpose:

Under minimal supervision, provides advanced administrative support and coordinates specific activities as assigned within the department. Possesses familiarity with corporate operations and staff.
