Job Description:

Responsible for planning and overseeing facility maintenance and services. Allocates office space, purchases equipment, and maintains appearance of building.

ESSENTIAL FUNCTIONS:

  • Allocates office space with approval of Director of Development approval.
  • Monitors construction/renovations of office and sites, and building equipment as requested of director.
  • Manages inventory assets of company furniture, equipment, and storage facility.
  • Contacts appropriate vendors to secure cost analysis (RFI).
  • Confirms delivery, quality, and quantity of orders that relate to all TN Oncology facilities.
  • Coordinates and schedules facility maintenance and operational activities to ensure facilities are maintained at a high standard.
  • Assists and coordinates on assigned building projects, including repair, and renovation.
  • Manage the day-to-day facility ticket operations system, including the resolution of facility maintenance and operation issues at corporate offices and all other TN Oncology locations.
  • Answer vendor inquiries; follow up with vendors to ascertain satisfaction with completed work or to re-set expected work completion dates as needed.
  • Assists in the overall planning, development, and administration of an assigned facilities management program; assists in directing the development and implementation of departmental planning issues.
  • Assists and monitor in administration of new construction, remodeling, and maintenance repair projects working closely with architects, Construction Manager and Director of Development.
  • Assists in the preparation, review, and management of the annual budget; justifies building expenditures, of new construction, and repairs; and analyzes operating expenses and other issues essential to the operation of leased facilities or organizational owned property.
  • Recommends, coordinates, and/or directs the appropriate utilization of space and resolution of other facility-related issues.
  • Participates meetings as directed by Director of Development.
  • Participates in the development of budget requests and the monitoring of expenditures according to budget allocations/appropriations; recommends and/or initiates cost saving measures, including the preparation, tracking and reconciliation of purchase orders to ensure timely delivery of services and materials within budget.
  • Prepares and/or reviews reports and related information to evaluate existing organizations, policies, procedures, and practices.
  • Assist with the managing of leasing agreements for Company facilities as needed.
  • Manage Facility Maintenance employee(s).
  • Manages wayfinding and signage process with internal teams and signage vendor.
  • Performs other related work as assigned.

KNOWLEDGE, SKILLS & ABILITIES:

  • Knowledge of construction, maintenance, and building operations including building and safety codes, policies, regulations, procedures and architectural design.
  • Knowledge of building management methods, principles, and practices.
  • Knowledge of the requirements, regulations, and procedures leases and contracts.
  • Knowledge of crafts and trades used in operating and maintaining buildings.
  • Knowledge of standards, methods, and practices of space acquisition, utilization, and management.
  • Knowledge of current facility operations and related service issues and theories.
  • Ability to establish and maintain effective working relationships with TO staff, contractors, and physicians and other outside vendors in a professional manner.
  • Ability to analyze and evaluate policies and operations, and formulate recommendations.
  • Ability to develop and maintain positive working relationships with key contacts for assigned buildings.
